Principal Responsibilities: Provide full administrative support to the Executive Director: manage calendar, greet guests, order meals, prepare packets, and manage professional memberships/subscriptions Act as liaison to the Board of Directors and Executive Committee; coordinate meeting logistics, record/transcribe minutes, maintain historical files, and assist with ticket requests Arrange director's travel (flights, hotel, rental car) and prepare itineraries/travel packets Maintain mileage logs for the director Manage correspondence by reading, researching, routing, and drafting letters/documents; screen and route phone calls Maintain VIP invitee lists (contacts, board members, government officials) and coordinate VIP correspondence with Development staff Assist local government leaders with ticket requests and delivery Reconcile corporate credit card statements with required backup documentation Maintain organizational charts Develop annual holiday schedule and maintain staff vacation calendar (July–December) Support marketing efforts by editing materials Assist Finance department with check register copies for audits Maintain greeting card supply Support the Director, donors, and departments at events and receptions Maintain confidentiality of staff and customer information Other duties as assigned Work Schedule: Monday–Friday, 9 AM–5 PM. Extra hours required during Festival season and high-volume periods. Skills/Qualifications: Degree in a related field or equivalent experience Highly skilled in Microsoft Outlook, Word, Excel, and PowerPoint Ability to handle confidential information with discretion Strong communication skills with executives, board members, donors, and employees Excellent organizational, time management, and customer relations skills Detail-oriented, accurate, and able to work autonomously Ability to perform well under pressure in a fast-paced environment
