We are hiring an Executive Assistant to support the Vice President of a well-established higher education institution in Bengaluru. This is a high-trust, high-visibility role for someone who thrives on order, discretion, and getting things done. You will be the operational backbone of the VP's office managing time, information, and people flow so the VP can focus on leadership priorities.
This role is ideal for a sharp, proactive professional who can anticipate needs, handle confidential matters with maturity, and keep complex schedules running without friction.
Key Responsibilities
- Manage the VP's calendar, meetings, and travel—prioritising and resolving conflicts independently.
- Act as the first point of contact for the VP's office; screen and route communication, calls, and visitors.
- Prepare agendas, briefing notes, presentations, and minutes; track action items to closure.
- Coordinate across departments, leadership, and external stakeholders on behalf of the VP.
- Handle confidential documents and sensitive information with complete discretion.
- Organise meetings, events, and reviews end-to-end—logistics, materials, and follow-ups.
- Manage correspondence, reports, and basic record-keeping for the VP's office.
- Anticipate requirements and proactively flag priorities, deadlines, and bottlenecks.
What We're Looking For
- 3+ years of experience as an Executive Assistant, PA, or in a similar support role to senior leadership.
- Excellent written and verbal communication in English.
- Strong organisational and multitasking skills with sharp attention to detail.
- Proficiency in MS Office / Google Workspace (Docs, Sheets, Slides, Calendar).
- High level of professionalism, discretion, and emotional maturity.
- Ability to work independently, take ownership, and stay calm under pressure.
- Bachelor's degree preferred.
Bonus: Prior experience supporting C-suite or senior management in education, corporate, or institutional settings.
