Position: Executive Assistant to Deputy General Manager
Department: Commercial/ Business Development
Key Responsibilities:
- Provide comprehensive administrative and secretarial support to the Deputy General Manager.
- Manage the DGM's calendar, meetings, appointments, travel, and correspondence.
- Prepare reports, presentations, MOM (Minutes of Meetings), and official documentation.
- Coordinate with Production, Projects, Engineering, QA/QC, Procurement, HR, Finance, and other departments to ensure timely follow-up of action items.
- Monitor project progress and submit periodic status reports to the DGM.
- Maintain confidential records, contracts, and important company documents.
- Assist in preparing MIS reports, dashboards, and operational performance summaries.
- Coordinate internal and external meetings with clients, vendors, classification societies, and government authorities.
- Track deadlines, statutory submissions, and departmental deliverables.
- Handle incoming communications and ensure prompt responses and follow-ups.
- Perform other administrative and coordination duties assigned by the DGM.
Qualification:
- Bachelor's Degree in Business Administration, Commerce, Engineering, or any relevant discipline.
- MBA or equivalent qualification is preferred.
Experience:
- 1–5 years of experience as an Executive Assistant, Executive Secretary, or Administrative Coordinator.
- Experience in a shipyard, marine, engineering, manufacturing, or heavy industrial environment is preferred.
Key Skills:
- Excellent communication and interpersonal skills.
- Strong organizational, coordination, and time management abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and report preparation.
- Ability to maintain confidentiality and handle sensitive information.
- Strong follow-up, documentation, and multitasking skills.
- Knowledge of shipyard operations and project coordination is an added advantage.
Pay: ₹15,000.00 - ₹25,000.00 per month
