Role Summary
As the Documentation & Compliance Officer at Back to Village (B2V), you will lead the end-to-end statutory compliance, legal documentation, and institutional record-keeping. You will ensure B2V strictly adheres to all social sector regulations while maintaining high-quality documentation for CSR partners, donor reports, government bodies, and internal programs.
Key Responsibilities
1. Statutory & NGO Compliance
- Oversee and maintain all organizational compliance under Indian law, including Society/Trust registrations, 12A, 80G, CSR-1, and NITI Aayog Darpan portal, etc.
- Manage filings, renewals, and legal documentation related to FCRA, PF, ESI, and local state regulations.
- Coordinate with legal counsel, CAs, and auditors to prepare compliance filings, statutory disclosures, and annual returns.
- Ensure all organizational contracts, MoUs, partnership agreements, and NDAs are legally sound, vetted, and properly archived.
2. Project & Donor Documentation
- Standardize and manage project reporting templates for field teams of all projects.
- Compile, edit, and deliver timely, high-quality progress reports, impact stories, case studies, and utilization reports for CSR donors and grantors.
- Maintain a centralized digital repository of all project proposals, grant agreements, field data, and media assets.
- Draft formal correspondence with government agencies, district authorities, and community leaders.
3. Internal Policy & Audit Management
- Update, and implement internal operational policies (e.g., POSH, Child Safeguarding, Code of Ethics, Procurement Policy).
- Conduct quarterly internal documentation audits to verify that field and administrative teams adhere to organizational processes.
- Assist external audit teams during project-specific or organizational financial/social audits.
Key Performance Indicators (KPIs)
- 100% Statutory Compliance: Zero delays, penalties, or compliance notices from regulatory authorities.
- On-Time Donor Reporting: 100% deadline adherence for all monthly/quarterly donor and CSR impact reports.
- Documentation Audit Score: >95% accuracy in central document archiving and record retrieval efficiency.
Required Qualifications & Skills
- Education: Bachelor’s or Master’s degree in Law (LL.B), Public Policy, Master of Social Work (MSW), or Business Administration.
- Experience: Minimum 3 years of experience in documentation, compliance management, or legal affairs within an NGO, social enterprise, or developmental advisory firm.
- Domain Knowledge: Strong understanding of Indian NGO legal frameworks (12A/80G, CSR rules under Companies Act, FCRA, NITI Aayog guidelines).
- Skills: Exceptional written communication and editing skills in English and Hindi; strong analytical ability; proficiency in Google Workspace and digital document management tools.
- Attributes: Meticulous attention to detail, strong ethical grounding, and the ability to operate independently in a fast-paced environment.
