Job Purpose
The Admin Executive manages day-to-day office logistics, facility maintenance, procurement, and administrative support to keep the organization running efficiently. This role serves as a central hub for internal team requests, vendor coordination, and office operations.
Key Responsibilities1. Office Operations & Facility Management
- Oversee day-to-day office cleanliness, layout, seating arrangements, and overall maintenance.
- Manage office supplies inventory (stationery, pantry, equipment) and handle timely reordering.
- Coordinate repairs, maintenance, and routine servicing for office equipment and utilities.
2. Travel & Logistics Coordination
- Book flights, hotels, trains, and ground transportation for employees and management.
- Manage travel itineraries, visa documentation, and expense reimbursement processing.
- Coordinate local transport, courier services, and incoming/outgoing dispatch.
3. Vendor & Procurement Management
- Source, evaluate, and maintain relationships with office vendors, suppliers, and service providers.
- Process purchase requisitions, verify invoices, and coordinate with Finance for timely payments.
- Assist in negotiating vendor contracts and tracking service SLAs.
4. Visitor Management & Reception Support
- Greet visitors, clients, and partners, maintaining a professional front-desk environment.
- Manage incoming phone calls, generic email inquiries, and physical mail/deliveries.
- Organize meeting room reservations, audio/video setups, and catering for company events or visitor meetings.
5. Administrative & Employee Onboarding Support
- Assist HR with logistics for new hire onboarding (access badges, desks, welcome kits, seating).
- Maintain physical and digital filing systems, office policies, and inventory records.
- Assist senior management with basic scheduling, document printing, and filing when required.
Requirements & Qualifications
- Education: Bachelor’s degree in Business Administration, Communication, or a related field (or equivalent practical experience).
- Experience: 4–6years of experience in an administrative, office management, or operations support role.
- Tech Proficiency: Hands-on experience with Microsoft Office (Word, Excel, PowerPoint) or Google Workspace (Docs, Sheets, Slides), and basic office tools/management software.
- Communication: Strong verbal and written communication skills in English.

Pay: ₹10,020.02 - ₹32,528.45 per month
