Job Purpose
The Accounts Executive is responsible for managing day-to-day accounts payable activities, ensuring timely and accurate recording of purchase invoices, vendor payments, bank transactions, and statutory compliance support. The role also assists in month-end closing activities, vendor reconciliations, document management, and maintaining accurate financial records in compliance with company policies and statutory requirements.
Key Responsibilities1. Purchase Invoice Entry
- Verify supplier invoices against Purchase Orders (PO), Goods Receipt Notes (GRN), and supporting documents.
- Record purchase invoices accurately in the ERP system.
- Identify and report discrepancies before processing invoices.
2. Payment Entry & Accounting
- Record vendor payments through bank, cash, and other payment modes.
- Account for advance payments, adjustments, debit notes, and credit notes.
- Maintain accurate payment records and ensure proper authorization before processing.
3. Vendor Ledger Reconciliation
- Reconcile supplier ledger balances with vendor statements.
- Investigate and resolve invoice and payment discrepancies.
- Maintain updated vendor account balances and ageing records.
4. Bank Entry & Reconciliation
- Record daily bank transactions in the accounting system.
- Assist in monthly and periodic bank reconciliations.
- Identify and resolve unreconciled bank transactions promptly.
5. GST & TDS Compliance Support
- Verify GST details on purchase invoices and ensure statutory compliance.
- Assist in TDS accounting, deductions, and reconciliation.
- Support preparation of GST and TDS-related reports and documentation.
- Coordinate with auditors and consultants during statutory reviews.
6. Document Management
- Maintain systematic filing of purchase invoices, payment vouchers, bank documents, and supporting records.
- Ensure proper documentation for internal audits, statutory audits, and compliance requirements.
- Maintain both physical and digital document records.
7. Month-End Closing Support
- Assist in ledger scrutiny and account reconciliation.
- Prepare accounts payable schedules and vendor ageing reports.
- Support month-end closing activities and financial reporting.
- Assist in accruals, provisions, and reconciliation of payable accounts.
8. Coordination & Support
- Coordinate with Purchase, Stores, Finance, and other departments to resolve invoice and payment issues.
- Respond to vendor queries regarding invoices and payment status.
- Support process improvements and ensure adherence to company financial policies.
Required Qualifications
- Bachelor's Degree in Commerce (B.Com), Accounting, Finance, or a related field.
- 1–2 years of experience in Accounts.
- Freshers with strong accounting knowledge may also be considered.
Required Skills
- Sound knowledge of accounting principles and bookkeeping.
- Experience in ERP/accounting software (Tally, SAP, Oracle, Zoho Books, Busy, or similar ERP).
- Good understanding of GST, TDS, and statutory compliance.
- Strong MS Excel skills (VLOOKUP, Pivot Tables, SUMIF, basic formulas).
- Excellent numerical accuracy and attention to detail.
- Good analytical and problem-solving skills.
- Effective communication and interpersonal skills.
- Ability to work independently and meet deadlines.
Preferred Experience
- Experience in manufacturing or industrial organizations is preferred.
Pay: ₹10,000.00 - ₹15,000.00 per month
