We Are Hiring: International Conference Executive
STM Journals, an imprint of Consortium eLearning Network Pvt. Ltd., is looking for a research-driven and communication-focused International Conference Executive.
This role primarily focuses on identifying upcoming and ongoing academic conferences, establishing partnerships with universities and conference organizers, and coordinating the publication of selected conference papers in STM Journals.

Key Responsibilities
Conference Research and Data Development
- Conduct independent online research to identify upcoming and ongoing conferences organized by universities, colleges, research institutions, and academic associations.
- Collect and verify conference details, including subject area, dates, organizers, institution, contact information, submission deadlines, and publication requirements.
- Use platforms such as EasyChair, academic conference directories, university websites, Google, LinkedIn, and Chronicle-related academic resources.
- Maintain an updated subject-wise and institution-wise conference database.
Institutional and Organizer Coordination
- Contact conference organizers, university authorities, department heads, conveners, and institutional representatives through professional emails, telephone calls, virtual meetings, and one-to-one discussions.
- Introduce STM Journals and present suitable conference-paper publication opportunities.
- Understand the conference theme, subject domain, expected number of papers, review process, and publication requirements.
- Respond professionally to organizer queries regarding journal scope, indexing information, publication process, charges, timelines, copyright, peer review, and special issues.
- Maintain regular follow-ups and build long-term relationships with academic institutions and conference organizers.
Journal Publication Partnerships
- Propose publication of conference papers in suitable STM Journals based on the conference subject area.
- Offer publication through a regular journal issue, conference proceedings arrangement, or dedicated special issue, depending on the agreed partnership.
- Coordinate internally to identify the most relevant journal for submitted conference papers.
- Explain manuscript requirements, publication ethics, review procedures, copyright conditions, charges, and expected timelines.
- Ensure that no paper is promised acceptance without proper editorial evaluation and peer review.
MoU and Commercial Coordination
- Prepare, review, exchange, and coordinate the signing of Memorandums of Understanding with conference organizers and institutions.
- Ensure that the MoU clearly mentions:
- Number and type of papers
- Journal or special-issue details
- Publication charges
- Payment terms
- Submission and review timelines
- Copyright requirements
- Roles and responsibilities of both parties
- Expected publication schedule
- Coordinate with management, finance, editorial, and legal teams before finalizing the partnership.
- Maintain proper records of signed MoUs, approvals, communications, invoices, and payment status.
Manuscript and Publication Coordination
- Receive conference papers and verify that all required files and author details have been submitted.
- Coordinate the initial evaluation of papers for journal relevance, completeness, originality, and formatting.
- Support the editorial and peer-review process in coordination with reviewers and journal editors.
- Follow up with organizers and authors regarding corrections, revisions, missing information, and publication documentation.
- Obtain copyright or copyright-transfer documents from authors before publication.
- Coordinate with editorial, copyediting, production, and publication teams to complete the publication process within the agreed timeline.
- Share publication updates, final links, issue details, and completion reports with organizers.
Reporting and Performance Management
- Maintain daily, weekly, and monthly records of conferences researched, organizers contacted, meetings conducted, proposals shared, MoUs signed, papers received, and publications completed.
- Track the status of every conference partnership from initial research to final publication.
- Achieve assigned targets related to institutional partnerships, MoUs, paper acquisition, and journal publication.
- Escalate delays, ethical concerns, payment issues, or publication risks to the reporting manager.
Required Qualifications
- Bachelor’s or Master’s degree in Science, Engineering, Biotechnology, Pharmacy, Life Sciences, Management, Mass Communication, or a related discipline.
- Strong written and verbal English communication skills.
- Good understanding of academic research, conferences, journals, and scholarly publishing.
- Proficiency in MS Excel, Word, PowerPoint, email communication, and online research.

Preferred Candidate Profile
- Experience in academic publishing, journal coordination, conference partnerships, institutional sales, or research outreach.
- Familiarity with EasyChair, academic conference portals, Google Scholar, ORCID, LinkedIn, and university websites.
- Ability to communicate confidently with professors, conference organizers, researchers, and institutional heads.
- Ability to independently manage multiple conference-publication partnerships.
- Immediate joiners or candidates with a notice period of up to 15 days will be preferred.
