Job Summary
The Purchase Executive is responsible for managing the procurement of raw materials, packaging materials, office supplies, and other goods required for the smooth functioning of the organization. The role involves vendor management, purchase order processing, negotiation, inventory coordination, and ensuring timely procurement while maintaining quality standards and cost efficiency.
Key Roles & Responsibilities
- Identify and evaluate new vendors for procurement requirements.
- Procure raw materials, packaging materials, finished goods, and general consumables as per company requirements.
- Obtain quotations from multiple vendors and compare prices, quality, delivery timelines, and payment terms.
- Negotiate pricing, commercial terms, and delivery schedules with suppliers.
- Prepare and issue Purchase Orders (POs) after obtaining necessary approvals.
- Follow up with suppliers to ensure timely delivery of materials.
- Coordinate with the Production, PPIC, QA, QC, Warehouse, Accounts, and HR departments regarding procurement requirements.
- Maintain proper records of purchase orders, quotations, invoices, and vendor agreements.
- Monitor inventory levels to avoid stock shortages or excess inventory.
- Ensure procurement activities comply with company policies and pharmaceutical industry standards.
- Resolve supplier-related issues such as delays, shortages, quality concerns, and invoice discrepancies.
- Develop and maintain strong relationships with existing and new vendors.
- Conduct periodic vendor performance evaluations.
- Prepare daily, weekly, and monthly purchase reports.
- Support internal and external audits by maintaining accurate procurement documentation.
- Ensure cost-effective purchasing without compromising product quality.
Required Qualifications
- Bachelor's degree in B.Pharm, B.Sc., B.Com, MBA, or any relevant discipline.
- 2–5 years of experience in pharmaceutical procurement or purchasing.
- Freshers with relevant internships or strong knowledge of procurement processes may also be considered.

- Knowledge of pharmaceutical procurement procedures.

Preferred Knowledge
- Good understanding of GMP (Good Manufacturing Practices).
- Basic knowledge of pharmaceutical regulatory requirements.
- Familiarity with PPIC coordination and inventory planning.
- Knowledge of GST documentation and purchase-related accounting processes will be an added advantage.
