Job Description Summary
We are seeking a highly organized and detail-oriented Project Planning Coordinator to support project planning, scheduling, monitoring, and coordination activities across multiple projects. The role involves developing project schedules, tracking progress, coordinating with cross-functional teams, preparing reports, and ensuring projects are executed in line with timelines, budgets, and organizational objectives.

About the Role

Assist in preparing project schedules, timelines, and work plans

Coordinate with design, MEP, and site execution teams

Track daily/weekly progress and highlight delays or risks
-
Act as a link between site team, vendors, and consultants
-
Ensure drawings, BOQs, and specifications are available at site
-
Follow up approvals, RFIs, and material submittals
-
Coordinate with vendors/suppliers for timely material delivery
-
Track procurement status and ensure no work stoppage
-
Verify quantities and support billing documentation
-
Maintain project documentation (drawings, MOMs, reports, trackers)
-
Prepare daily/weekly/monthly progress reports
-
Record and track change requests and variations
-
Support QA/QC checks as per project standards
-
Ensure work is executed as per approved drawings and specs
-
Follow safety and site compliance requirements
-
Attend meetings and prepare MOMs (Minutes of Meeting)
-
Follow up on action items with internal and external teams

Provide regular updates to Project Manager

Assist in contractor/vendor billing verification
-
Support snagging, punch list, and project handover
-
Ensure closure of all pending works before handover
About You:

Basic knowledge of interior fit-out and MEP services
-
Good coordination and follow-up skills
-
Understanding of drawings (AutoCAD knowledge preferred)

Strong communication (email + site coordination)

Proficiency in Excel, MS Project (optional)
