We are a leading aerospace and defence trading company, specializing in the supply of consumables, spare parts, and equipment.
We are looking for a reliable and proactive Admin Executive to handle day-to-day administrative tasks and ensure smooth office operations. The role will focus on travel management, bill verification, and documentation, along with wider responsibilities such as vendor coordination, office facility management, and administrative support to various teams.
Key Responsibilities:
Human Resources
- Assist in end-to-end recruitment activities including sourcing, scheduling interviews, and coordinating onboarding.
- Prepare offer letters, appointment letters, confirmation letters, transfer letters, and other HR documents.
- Conduct employee induction and maintain onboarding documentation.
- Maintain employee personal files and HR records in physical and digital formats.
- Update and maintain employee database and HRMS.
- Monitor employee attendance, leave records, and regularize attendance discrepancies.
- Coordinate probation reviews, confirmations, contract renewals, and exit formalities.
- Assist in performance management, training, and employee development initiatives.
- Coordinate employee engagement activities, celebrations, and welfare initiatives.
- Ensure employees comply with company policies and HR procedures.
- Support payroll by providing attendance, leave, and employee data to Accounts.
- Handle employee queries related to HR policies and procedures.
- Maintain confidentiality of employee information and HR records.
Administration
- Oversee day-to-day office administration and ensure smooth office operations.
- Coordinate housekeeping, pantry, office maintenance, and vendor services.
- Manage office stationery, consumables, and inventory.
- Coordinate travel bookings, hotel reservations, and local transportation as required.
- Maintain office assets and ensure proper record keeping.
- Coordinate courier services, dispatches, and inward/outward documentation.
- Liaise with external vendors, service providers, and maintenance agencies.
- Ensure meeting rooms are prepared and administrative support is available for meetings.
- Monitor office safety, cleanliness, and facility requirements.
- Support implementation of administrative policies and procedures.
- Manage travel arrangements including flight, train, bus and hotel reservations
- Maintain travel records and itineraries for employees and management.
Compliance & Documentation
- Maintain statutory HR documentation as applicable.
- Ensure proper filing, record retention, and document control.
- Support internal audits related to HR and Administration.
- Assist in preparing HR reports, MIS, and monthly management reports.
Key Skills & Qualifications:
Bachelor’s degree
Strong organizational and multitasking skills.
Good command over MS Office (Word, Excel, Outlook).
Strong verbal and written communication skills.
Attention to detail and ability to maintain confidentiality.
Ability to work independently and as part of a team.
Detail-oriented with a strong focus on accuracy and quality.
Job Type: Full-time
Pay: ₹20,000.00 - ₹22,000.00 per month
