Job Summary
We are seeking a smart, proactive, and highly organized Executive Assistant to provide comprehensive administrative and operational support to the Director. The ideal candidate should possess excellent organizational skills, strong business acumen, advanced Excel knowledge, and fluent English communication to effectively coordinate with internal teams and external stakeholders.
Key Responsibilities
- Manage the Director's calendar, appointments, meetings, and travel arrangements.
- Coordinate meetings, prepare agendas, record minutes, and ensure timely follow-up on action items.
- Draft professional emails, letters, reports, presentations, and business correspondence.
- Prepare and maintain MIS reports, dashboards, and business reports using Advanced Microsoft Excel.
- Analyze business data and prepare reports to support decision-making.
- Act as the primary point of contact between the Director and internal and external stakeholders.
- Coordinate with cross-functional teams to ensure timely execution of tasks.
- Maintain confidential documents and sensitive business information with the highest level of discretion.
- Organize business meetings, client visits, and official events.
- Handle calls, correspondence, and administrative tasks on behalf of the Director.
- Perform additional executive and administrative support duties as assigned.
Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
- 4–5 years of experience as an Executive Assistant, Personal Assistant, Office Coordinator, or Administrative Executive, preferably supporting senior management or directors.
- Fluent verbal and written communication in English is mandatory.
- Strong proficiency in Advanced Microsoft Excel, including Pivot Tables, XLOOKUP/VLOOKUP, IF formulas, Conditional Formatting, Charts, Dashboards, and MIS reporting.
- Good working knowledge of Microsoft Word, PowerPoint, and Outlook.
- Strong organizational, multitasking, and time-management skills.
- Ability to work independently while maintaining complete confidentiality.
