Experience: 5+ years of relevant experience, preferably in a hospital/healthcare setting with OPD operations experience.
Job Summary
We are looking for an experienced and responsible OPD In-Charge to oversee the day-to-day operations of the Outpatient Department, ensuring smooth patient flow, effective staff management, quality patient care, and adherence to hospital policies and SOPs.
Key Responsibilities
- Manage the overall day-to-day operations of the OPD and ensure smooth functioning.
- Plan and manage staff deployment based on patient footfall and operational requirements.
- Prepare and monitor duty rosters for OPD nursing and support staff.
- Monitor staff attendance, leave, absenteeism, and ensure adequate staffing at all times.
- Conduct daily briefings with the OPD team regarding appointments, consultant availability, specialties, procedures, packages, and operational updates.
- Ensure patients receive a warm, caring, and professional experience throughout their OPD journey.
- Monitor patient flow and minimize waiting time and delays.
- Coordinate effectively with doctors, nurses, front office, billing, diagnostics, pharmacy, and other departments.
- Ensure OPD areas are clean, organized, well-maintained, and patient-friendly.
- Take regular rounds of OPD areas and address operational issues promptly.
- Ensure availability and proper functioning of medical equipment, software, and other necessary resources.
- Coordinate VIP patient arrangements and ensure seamless service delivery.
- Monitor patient feedback and take appropriate corrective actions.
- Ensure strict adherence to hospital SOPs, clinical protocols, infection control practices, and safety standards.
- Monitor quality indicators and participate in audits and improvement initiatives.
- Maintain proper documentation and ensure timely reporting of OPD-related activities.
- Monitor OPD conversions, follow-ups, health check packages, and other service-related opportunities.
- Coordinate with consultants regularly to understand and address their operational requirements.
- Handle patient concerns and escalate critical issues to the appropriate authority.
- Support internal marketing activities, health camps, and other OPD-related initiatives.
- Ensure compliance with all organizational policies and statutory requirements.
- Train, guide, and motivate the OPD team to improve service quality and productivity.
