Job Description
Daily responsibilities may vary depending on clinic size, medical specialty, and staffing structure. However, the role generally includes the following duties:
- Greet patients courteously, respond to basic inquiries, schedule appointments, and manage records and billing details.
- Operate practice management systems (PMS), patient portals, reminder tools, mobile apps, and other digital platforms to coordinate appointments and maintain accurate records.
- Receive patients and visitors both in person and via telephone, taking clear and complete messages when required.
- Manage appointment scheduling to maximize patient satisfaction, provider availability, and effective use of consultation rooms.
- Support patients in completing insurance documentation and maintaining updated medical records.
- Coordinate hospital admissions, arrange specialist referrals, and book diagnostic tests or laboratory investigations as needed.
- Monitor appointment flow by informing providers of patient arrivals, tracking delays, and ensuring services remain aligned with the schedule.
- Create a calm and organized reception environment to reduce patient anxiety and address queries proactively.
- Maintain proper filing and retrieval of medical records to ensure treatment information is readily accessible.
- Update and manage patient demographic and financial information accurately.
- Handle billing processes, record payments, collect outstanding dues, monitor credit arrangements, and process insurance claims efficiently.
- Oversee office inventory by monitoring stock levels, ordering supplies, verifying deliveries, and coordinating equipment servicing and repairs.
- Respond promptly to urgent situations and assist patients experiencing distress.
- Manage incoming and outgoing mail, courier items, and internal communications.
- Draft, process, and store official correspondence, reports, and administrative documents.
- Safeguard patient confidentiality by protecting medical, personal, and financial information.
- Ensure adherence to clinic policies and operational procedures, reporting necessary updates when required.
- Provide clear directions and guidance to new patients, consultants, and vendors.
- Support overall team objectives by contributing to related administrative tasks as needed.

- Salary Range: ₹7,000 – ₹12,000 per month

Preferred Experience
- Minimum 1 year of experience using Microsoft Office
- At least 1 year of experience in a front desk or receptionist role
- Overall work experience of 1 year preferred
Language Requirement
- Proficiency in English preferred
