Job Summary
Gotraka is seeking a highly organised and detail-oriented Procurement Administrator to support our Senior Procurement Officer with the day-to-day administration of purchasing and supplier management.
This role is ideal for someone with excellent English communication skills, exceptional record-keeping abilities, and a proactive approach to problem-solving. You will communicate with suppliers, maintain accurate purchasing records, assist with procurement activities, and help ensure inventory is managed efficiently.
You will play a key role in keeping procurement operations running smoothly while working closely with suppliers, internal teams, and international vendors.
Key Responsibilities
- Provide administrative support to the Senior Procurement Officer.
- Prepare and process purchase orders accurately and in a timely manner.
- Maintain accurate procurement records, supplier information, contracts, and pricing databases.
- Communicate professionally with suppliers via email and phone regarding orders, deliveries, pricing, and product availability.
- Follow up on outstanding orders and resolve supplier queries.
- Assist with negotiating pricing, lead times, and delivery schedules under the guidance of the Senior Procurement Officer.
- Monitor stock levels and assist with inventory planning and replenishment.
- Update internal systems with purchasing, inventory, and supplier information.
- Maintain organised documentation and ensure procurement records are accurate and up to date.
- Assist in preparing procurement reports, spreadsheets, and cost analysis.
- Liaise with the Sales, Operations, Warehouse, and Finance teams to ensure smooth purchasing processes.
- Escalate supply issues and help identify practical solutions to minimise delays.
Skills & Experience
- Previous experience in an administrative, procurement, purchasing, or inventory support role.
- Excellent written and spoken English communication skills (essential).
- Strong organisational skills with exceptional attention to detail.
- Excellent record-keeping and documentation skills.
- Strong problem-solving abilities and a willingness to take initiative.
- Confident communicating with suppliers and internal stakeholders.
- Good negotiation and interpersonal skills.
- Strong Microsoft Excel and Microsoft Office skills.
- Ability to prioritise tasks and manage multiple deadlines.
- Experience using ERP, purchasing, or inventory management systems is an advantage.
- Experience in IT hardware, electronics, or ecommerce is highly desirable but not essential.

Pay: ₹350,000.00 - ₹450,000.00 per year
