The Administrative Manager will be responsible for coordinating all administrative efforts across the organization. This includes managing office staff, overseeing facilities, maintaining vendor relationships, and ensuring that all departmental workflows are efficient and cost-effective. The ideal candidate is a proactive problem-solver with exceptional organizational skills and a "no task is too small" attitude.
Responsibilities1. Office Operations & Workflow
- Design and implement office policies and procedures to improve operational efficiency.
- Oversee the maintenance and repair of office equipment and systems.
- Manage the inventory of office supplies and lead the procurement process to ensure cost savings.
- Ensure the office environment is safe, clean, and compliant with local health and safety regulations.
2. Team Leadership & Supervision
- Supervise and mentor administrative staff (receptionists, clerks, assistants).
- Coordinate staff scheduling and delegate tasks to ensure balanced workloads.
- Conduct performance reviews and identify training opportunities for the admin team.
3. Financial & Budgetary Oversight
- Assist in the development of the annual administrative budget.
- Track and manage office expenses, ensuring all departments stay within budget.
- Review and approve invoices and coordinate with the finance department for timely payments.
4. Vendor & Project Management
- Act as the primary point of contact for external vendors (IT support, janitorial services, building management).
- Negotiate contracts and service-level agreements (SLAs) to ensure quality service.
- Lead special projects, such as office renovations, relocations, or company events.
Qualifications
