We are seeking a professional, organized, and welcoming Receptionist & Administrative Assistant to be the first point of contact for our company. You will play a vital role in ensuring our office runs smoothly by managing the front desk, coordinating communications, and providing essential administrative support to our team. The ideal candidate is tech-savvy, detail-oriented, and capable of balancing multiple tasks with a positive, "can-do" attitude.
Key ResponsibilitiesReception Duties
- Front Desk Management: Greet visitors, clients, and vendors in a professional and friendly manner.
- Communications: Manage a multi-line phone system, screen and route calls, and respond to general company email inquiries.
- Visitor Coordination: Maintain a secure office environment by managing visitor logs and issuing access badges as required.
- Office Presentation: Ensure the reception area, lobby, and common meeting rooms are tidy, organized, and well-stocked with necessary supplies.
Administrative Support
- Document Management: Assist in drafting, proofreading, and formatting internal memos, reports, and correspondence.
- Scheduling: Manage calendars, schedule appointments, and coordinate travel arrangements or meeting logistics when needed.
- Office Supplies: Monitor inventory levels of office supplies and breakroom items; place orders as needed while tracking expenses.
- Data Entry: Perform accurate data entry and maintain digital/physical filing systems.
- Special Projects: Support various departments with ad-hoc administrative tasks, research, or event planning as requested by management.
Qualifications & Skills
- Experience: 1–3 years of experience in a reception or administrative support role preferred.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace. Experience with office equipment (printers, scanners, multi-line phones).
- Communication: Exceptional verbal and written communication skills with a professional demeanor.
- Organization: Ability to prioritize tasks effectively in a fast-paced environment and maintain high attention to detail.
- Problem-Solving: Proactive mindset with the ability to handle unexpected issues calmly and efficiently.
- Education: High school diploma or equivalent required; Associate’s degree or relevant certification is a plus.
Pay: ₹10,000.00 - ₹13,000.00 per month
