Sales Support Engineer
Job Description
Role Overview
The Sales Support Engineer will act as the key link between the Sales Team, Customer Requirements, ERP System, and Factory Operations.
The primary responsibility of the role is to ensure that customer purchase orders are thoroughly reviewed from both technical and commercial perspectives, accurately converted into Sales Orders in the ERP system, and effectively coordinated with Production and Dispatch teams until completion of the order.
The role is based in Mumbai, with close coordination with our Jamnagar manufacturing facility. (Applicants must be current residents of Mumbai - between Churchgate - Borivali and CST - Thane/Vashi)
Key Responsibilities
1. Customer Order Review – Technical & Commercial
- Review customer Purchase Orders, contracts, drawings, specifications and related documents.
- Verify that the customer order matches the approved quotation and agreed commercial terms.
- Check technical requirements including:
- Product description
- Part numbers
- Drawings and revisions
- Material specifications
- Dimensions and tolerances
- Plating / coating / surface finish
- Testing and inspection requirements
- Packaging requirements
- Customer-specific specifications
- Check commercial requirements including:
- Prices
- Quantities
- Delivery dates
- Payment terms
- Incoterms / delivery terms
- Freight terms
- Currency
- Taxes and duties, wherever applicable
- Identify discrepancies or missing information in customer orders and coordinate with the Sales Team / customer for clarification before order processing.
- Ensure that only technically and commercially correct orders are released for production.
2. Sales Order Creation in ERP
- Create Sales Orders in the ERP system accurately and within the required turnaround time.
- Ensure that all technical and commercial information entered in the ERP matches:
- Customer Purchase Order
- Approved quotation
- Product specifications
- Drawings
- Agreed delivery schedule
- Enter appropriate product codes, customer codes, quantities, prices, delivery dates, specifications and special instructions.
- Attach or reference relevant drawings, specifications and customer documents wherever required.
- Review Sales Orders before releasing them to the factory.
- Process amendments to Sales Orders whenever customer requirements are revised.
- Maintain accurate records of order revisions and changes.
3. Coordination with Production
- Communicate confirmed customer requirements and delivery commitments to the Production / Planning teams.
- Coordinate with the factory regarding:
- Production planning
- Material availability
- Production status
- Customer priorities
- Urgent orders
- Delayed orders
- Regularly follow up on open Sales Orders and committed delivery dates.
- Highlight potential production delays to the Sales Team in advance.
- Coordinate internally to achieve customer delivery commitments wherever possible.
4. Dispatch Coordination
- Coordinate with Production, Quality, Packing and Dispatch teams for timely dispatch of completed orders.
- Ensure that the correct quantities and products are dispatched against customer Sales Orders.
- Verify customer-specific packing, marking, labelling and documentation requirements.
- Coordinate dispatch priorities based on customer requirements and committed delivery dates.
- Follow up for dispatch documentation and provide relevant information to the Sales Team.
- Maintain visibility of pending, ready-for-dispatch and dispatched orders.
5. Order Tracking & Sales Support
- Maintain accurate status of all open customer orders.
- Provide regular order-status updates to the Sales Team.
- Prepare reports on:
- Open Sales Orders
- Pending production
- Upcoming deliveries
- Delayed orders
- Ready-for-dispatch orders
- Assist the Sales Team with technical and commercial information relating to existing customer orders.
- Coordinate internally for resolution of order-related issues.
Key Performance Indicators – KPIs
Performance of the Sales Support Engineer will primarily be measured on:
- Accuracy of Sales Orders entered in ERP
- Zero or minimum errors in technical specifications, pricing and quantities
- Speed of order processing
- Timely release of customer orders to production
- Accuracy of delivery commitments
- Effective follow-up of pending orders
- Reduction in delays caused by internal communication gaps
- Timely escalation of potential delivery problems
- Accuracy of dispatch instructions
- Responsiveness to the Sales Team and factory departments
Technical & Functional Skills
The candidate should have:
- Ability to understand engineering drawings and technical specifications
- Good understanding of manufacturing terminology
- Basic understanding of materials, dimensions, tolerances and surface finishes
- Good commercial understanding of pricing, payment terms and delivery terms
- Experience working with ERP systems
- Good knowledge of Microsoft Excel
- Strong attention to detail
- Ability to manage multiple customer orders simultaneously
- Good coordination and follow-up skills
- Good written and verbal communication skills
Key Competencies

Experience
- 2–5 years of experience in Sales Support, Sales Coordination, Order Management, Production Coordination or Customer Order Processing in an engineering / manufacturing company.
- Experience in an export-oriented engineering or manufacturing company will be an advantage.
Qualification
- Diploma / B.E. / B.Tech in Mechanical Engineering, Production Engineering or a related engineering discipline.
- Candidates with an engineering background and strong commercial understanding will be preferred.
Role Summary
The Sales Support Engineer is responsible for ensuring that what the customer ordered, what Sales committed, what is entered into the ERP, what the factory produces, and what is finally dispatched are all completely aligned.
The position therefore requires a combination of technical understanding, commercial accuracy, ERP discipline and strong factory coordination.
