THE ROLE
We are looking for an E-Commerce Executive who will help us build and manage the systems behind Odd Giraffe’s growing range of personalised products.
This is a hands-on role combining e-commerce execution, product catalogue management, artwork coordination, personalisation setup, process building and operations.
You will not simply be uploading products.
You will be responsible for figuring out how we can create and manage hundreds or thousands of designs efficiently, consistently and with minimal errors.
WHAT YOU’LL BE RESPONSIBLE FOR
1. Product File creation and Listing
Take new products from initial design files to a complete, ready-to-sell product:
Artwork → Production Files → Mockups → Personalisation setup → Shopify → QA → Launch
This includes:
- Adapting existing artwork to different product sizes.
- Preparing AI, PDF, JPG and WEBP files.
- Creating and updating product mockups.
- Setting up personalisation templates.
- Creating and updating Shopify listings.
- Maintaining SKUs, product information and metafields.
- Checking every product before launch.
2. Build Systems for Managing Products
As our catalogue grows, keeping track of every individual design, size, colour and variation becomes increasingly important.
You will be expected to create systems that make this manageable.
For example:
- Creating a central product/design database.
- Developing consistent SKU structures.
- Creating naming conventions for files and products.
- Maintaining a master list of designs and variations.
- Tracking which designs are available in which products/sizes/colours.
- Tracking templates and IDs.
- Tracking Shopify listings.
- Creating systems to identify missing files or incomplete products.
- Creating processes that make it easy to launch the same design across multiple products.
- Creating systems to identify matching designs and collections.
- Maintaining records so that existing work can easily be reused in the future.
3. Create Repeatable Processes
A major part of the role will be improving the way we work.
Instead of solving the same problem repeatedly, you will be expected to ask:
“How can we create a system so we don’t have to solve this again?”
You will help create:
- SOPs
- Checklists
- Templates
- Naming conventions
- Tracking sheets
- Product databases
- Workflow systems
- QA processes
- File organisation systems
The goal is to make product creation faster, more consistent and less dependent on individual people remembering what to do.
4. Manage Design & Variation Systems
Odd Giraffe may have the same design available across:
- Different product categories
- Different product sizes
- Different colours
- Different personalisation formats
- Different layouts
- Different product combinations
You will help create systems that allow us to easily answer questions such as:
“Where else is this design available?”
“Which colours have already been created?”
“Which sizes are still missing?”
“Has this design already been added for personalisation setup?”
“Is this design live on Shopify?”
“Which products can we create using this existing artwork?”
5. Improve Existing Processes
The role will evolve as you understand our systems.
You will be expected to identify:
- Repetitive work that can be simplified.
- Steps that can be standardised.
- Common errors and their causes.
- Information that should be tracked centrally.
- Files that should be reusable.
- Processes that can be automated or partially automated.
- Areas where we are unnecessarily duplicating work.
You should be someone who naturally thinks:
“There must be a better way to do this.”
WHO WILL DO WELL IN THIS ROLE?
We are looking for someone who is:
- Extremely organised.
- Detail-oriented.
- Comfortable working with large numbers of products and SKUs.
- Good with systems and spreadsheets.
- Comfortable learning software quickly.
- Good at following processes — but also good at improving them.
- Comfortable with repetitive execution work.
- Able to spot inconsistencies and errors.
- Comfortable documenting processes.
- Proactive rather than waiting for instructions for every small task.
- Able to think about both the individual product and the larger system behind hundreds of products.
MOST IMPORTANTLY:
You should enjoy creating order out of complexity.
If you see 500 products, multiple sizes, colours, designs, templates and files and your instinct is to create a clean system to manage them all — you may be a great fit for this role.
THIS IS NOT A PRODUCT DESIGN ROLE
You will not be responsible for inventing or designing new physical products.
You will primarily work with existing product formats and designs, adapting, preparing, organising, launching and managing them across our systems.
The creative/design component is mainly execution and adaptation in Adobe Illustrator/Photoshop, rather than conceptual product design.
SUCCESS IN THIS ROLE LOOKS LIKE
After some time in the role, we should be able to:
Create more products → with fewer errors → in less time → using repeatable systems.
And anyone on the team should be able to look at our systems and quickly understand:
What exists → what is missing → what needs to be created → where the files are → what is live → what still needs to be launched.
Pay: ₹20,000.00 - ₹25,000.00 per month
Work Location: In person
