About the Role
We are looking for a detail-oriented and highly organized Associate – Admin & MIS Specialist to join our Human Resource Department. The incumbent will be responsible for managing administrative operations, maintaining management information systems (MIS), preparing analytical reports, coordinating with internal departments and external vendors, and supporting HR operations to ensure smooth organizational functioning.
The ideal candidate should possess strong analytical skills, excellent proficiency in Microsoft Excel, and the ability to handle multiple responsibilities with accuracy and professionalism.
Key Responsibilities
Administration
- Manage day-to-day administrative activities across the organization.
- Coordinate office maintenance, repairs, housekeeping, security, pantry, and facility management.
- Maintain records of office assets, inventory, stationery, and consumables.
- Coordinate with vendors for quotations, purchase orders, renewals, and service deliveries.
- Track Annual Maintenance Contracts (AMC), utility bills, and vendor payments.
- Ensure office infrastructure and workplace facilities remain operational.
- Support travel bookings, accommodation, courier management, and logistics whenever required.
- Maintain documentation related to administrative processes and compliance.
MIS & Reporting
- Prepare daily, weekly, monthly, quarterly, and annual MIS reports.
- Generate dashboards and analytical reports for HR and management.
- Collect, consolidate, and validate data received from various departments.
- Ensure timely submission of reports with high data accuracy.
- Develop and maintain Excel-based trackers, dashboards, and reporting templates.
- Analyse trends and provide actionable insights to management.
- Maintain data confidentiality and ensure information integrity.
HR Operational Support
- Assist the HR team in maintaining employee records and documentation.
- Support attendance, leave, timesheet, and payroll-related data management.
- Coordinate documentation related to onboarding and employee lifecycle activities.
- Maintain HR trackers including PMS, training, compliance, and employee records.
- Support HR events, employee engagement activities, and organizational initiatives.
- Assist in preparing reports required for audits and management reviews.
Documentation & Compliance
- Maintain digital and physical records systematically.
- Ensure all documentation is updated, organized, and readily accessible.
- Assist in maintaining statutory and internal compliance records.
- Prepare reports and documentation required during internal and external audits.
Coordination
- Liaise with internal departments for data collection and administrative support.
- Coordinate with external vendors and service providers.
- Follow up on pending actions and ensure timely closure of administrative tasks.
Required Skills
- Advanced Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, INDEX-MATCH, IF Functions, Charts, Dashboards)
- Good knowledge of Microsoft Word and PowerPoint
- Strong analytical and numerical ability
- Excellent documentation and record management skills
- Strong attention to detail and accuracy

Preferred Qualifications
- Bachelor's Degree in Business Administration, Commerce, Management, or a related discipline.
- Certification in Advanced Excel, MIS, Data Analytics, or Office Administration will be an added advantage.
- Experience working with HRMS/ERP platforms is preferred.
Pay: Up to ₹20,000.00 per month
