We are looking for a proactive and detail-oriented Procurement & Vendor Coordination Executive to strengthen our procurement operations and ensure timely sourcing of quality materials for our projects.
Job Summary
The Procurement & Vendor Coordination Executive will be responsible for sourcing, purchasing, negotiating, and coordinating the procurement of materials required for interior projects. The role involves working closely with designers, project managers, production teams, vendors, and accounts to ensure materials are delivered on time, within budget, and as per project specifications.
Key Responsibilities
- Source and procure interior materials, hardware, fittings, and accessories.
- Identify, evaluate, and onboard new vendors and suppliers.
- Obtain quotations and prepare comparative statements for management approval.
- Negotiate pricing, delivery schedules, payment terms, and commercial conditions with vendors.
- Issue Purchase Orders (POs) and track them until successful delivery.
- Coordinate with Designers, Project Managers, QS, Production, and Site Teams regarding material requirements.
- Ensure timely procurement to avoid project delays.
- Maintain vendor database, approved supplier list, and procurement records.
- Coordinate with Accounts for invoice verification and vendor payment follow-ups.
- Monitor vendor performance in terms of quality, pricing, responsiveness, and delivery timelines.
- Ensure purchased materials meet approved specifications and quality standards.
- Maintain proper documentation of purchase orders, quotations, invoices, and delivery notes.
- Assist in cost optimization through strategic sourcing and effective negotiations.

Required Qualifications
- Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, Civil Engineering, Interior Design, or a related field.
- 2–5 years of procurement or purchase experience, preferably in the interior design, furniture, construction, or fit-out industry.
- Strong knowledge of interior materials, hardware, and vendor sourcing.
- Proficiency in Microsoft Excel, Word, and Google Sheets.
- Experience with ERP or procurement software will be an added advantage.
