- Exhibitor A participant who has a booth or stall at the exhibition to showcase their products, services, or work and meet people attending the event.
- Visitor: A person who attends the exhibition to discover new products, services, technologies, suppliers, or business opportunities.
- Business Matching pre-arranges business meetings between exhibitors and visitors who may benefit from connecting with each other.

The Visitor Promotion team helps bring the right people to the exhibition so exhibitors can meet potential customers, buyers, partners, and decision-makers who may be interested in their products or services.
What Does a Visitor Promotion Executive Do?
- As a Visitor Promotion Executive, your role is to identify and engage business professionals who would benefit from attending our exhibitions.
- This role will research companies and professionals, invite them to attend the event, and coordinate their participation in business matching meetings with exhibitors.
- This is a research, outreach, and coordination role.
It is not a sales role.

Key Responsibilities
Research & Contact Identification
- Identify relevant companies and professionals using tools such as Apollo.io, LinkedIn, and online research.
- Build and maintain a database of qualified visitors and decision-makers.
- Research organisations and contacts to ensure they are relevant to the exhibition and exhibitors.
Visitor Outreach
- Reach out to potential attendees through email, LinkedIn, and phone calls.
- Explain the benefits of attending the exhibition and participating in business meetings.
- Follow up regularly to secure confirmations.
Business Matching Support
- Coordinate with internal teams to match visitor profiles with exhibitor requirements.
- Help schedule and confirm business meetings between exhibitors and visitors.
- Ensure attendees receive all necessary event information.
Data Management & Reporting
- Maintain accurate records in Excel and internal trackers.
- Track progress from identification to attendance.
- Share regular updates and reports with the reporting manager.
What We Are Looking For
Qualifications
- Graduate in any discipline.
- 1–2 years of experience in lead generation, business outreach, event coordination, customer engagement, or a similar role.
Skills
- Good working knowledge of Excel.
- Comfortable using LinkedIn, email, and online research tools.
- Experience with Apollo.io or similar contact research platforms is preferred.
- Strong written and verbal communication skills.
Personal Attributes
- Detail-oriented and organized.
- Confident in communicating with senior professionals.
- Persistent and proactive in follow-ups.
- Able to work independently and manage multiple tasks.
- Comfortable working in a target-driven environment.

Work Environment
- Full-time office-based role in Delhi.
- Monday to Friday working.
- Additional hours may be required closer to exhibition dates.
- Reporting to the Visitor Promotion Manager.
- Collaborative team environment with clear goals and support.
