The Wellness Reception Coordinator is the first point of contact for clients at a wellness center, spa, fitness studio, or clinic. This role ensures a welcoming environment while managing appointments, client communication, and front desk operations efficiently.
Key Responsibilities:
- Greet clients and visitors warmly, ensuring a positive first impression
- Manage appointment scheduling, rescheduling, and cancellations
- Handle phone calls, emails, and inquiries about services and programs
- Maintain client records and update information in the system
- Coordinate with therapists, trainers, and wellness staff for smooth operations
- Process payments, billing, and issue receipts
- Promote wellness services, packages, and memberships
- Ensure the reception and waiting area is clean, organized, and calming
- Manage inventory of front desk supplies (forms, brochures, etc.)
- Handle client concerns professionally and escalate when necessary
Required Skills & Qualifications:
- High school diploma or equivalent (Bachelor’s degree preferred)
- Proven experience in reception, hospitality, or customer service (wellness/spa experience is a plus)
- Excellent communication and interpersonal skills
- Basic computer proficiency (MS Office, booking systems, CRM tools)
- Strong organizational and multitasking abilities
- Professional appearance and customer-focused attitude
- Preferred Skills:
- Knowledge of wellness, spa, or fitness services
- Experience with scheduling software or POS systems
- Ability to upsell services and memberships
