What this role is: You are the single point of contact for all embroidery orders that come directly to us — from the first enquiry to final delivery. You coordinate with our customers, our design team, and our machine operators to make sure every order runs smoothly and on time.
What you'll do:
Manage customer orders end to end — take the brief, confirm every detail in writing, collect approvals at each stage, and see the order through to delivery and payment.
Coordinate production — work with the machine operator to plan timelines, assign jobs to the right machines, and make sure production never sits idle.
Brief the design team — prepare clear, complete design briefs (file, dimensions, placement, thread colours) so the digitizing team can start work immediately.
Handle raw materials — order threads and materials as soon as an order is confirmed, and track stock levels proactively.
Coordinate delivery — arrange porter services when needed and keep customers informed.
Document production — capture short behind-the-scenes videos for our social media team while work is in progress.
What we're looking for:
✅ Strong written and spoken communication — you will be messaging customers daily, and clarity matters
✅ Organised — able to track multiple orders at different stages simultaneously
✅ Proactive — you follow up, flag issues early, and do not wait to be told what to do next
✅ Comfortable with WhatsApp, basic spreadsheets, and digital tools
✅ Prior experience in operations, production coordination, or a customer-facing role is a plus ✅ Background in garment, embroidery, or manufacturing is an advantage but not required
