F1 Immigration Inc. is looking for a detail-oriented and responsible Immigration Case Manager / Operations Coordinator to assist with the preparation, review, and management of Canadian immigration files. The successful candidate will support the firm in managing client files, coordinating with team members, checking file accuracy, completing application packages, and ensuring that all immigration matters are handled in an organized and timely manner.
The ideal candidate should have strong communication skills, excellent attention to detail, the ability to manage deadlines, and experience or knowledge in Canadian immigration processes.
Main Duties and Responsibilities
The employee will be responsible for:
- Managing immigration client files from intake to submission, including organizing documents, reviewing forms, tracking missing information, and maintaining proper file records.
- Preparing and completing immigration applications, including work permits, study permits, visitor visas, extensions, permanent residence applications, sponsorship applications, LMIA-related files, and other immigration matters as assigned.
- Reviewing immigration forms and supporting documents to ensure accuracy, consistency, completeness, and compliance with required checklists and instructions.
- Conducting quality checks on files before submission, including reviewing forms, client information, documents, dates, employment history, education history, travel history, and declarations.
- Managing employees and caseworkers, including assigning tasks, following up on work, reviewing completed assignments, and ensuring deadlines are met.
- Coordinating daily office workflow, including monitoring pending files, urgent deadlines, client follow-ups, and staff productivity.
- Communicating with clients to request documents, provide updates, clarify information, and ensure all required information is collected in a timely and professional manner.
- Maintaining organized digital records, including saving documents properly, updating file status, maintaining checklists, and ensuring client files are properly documented.
- Assisting with drafting letters and submissions, including explanation letters, client declarations, employer letters, cover letters, and representative submission letters under supervision.
- Monitoring application deadlines and follow-ups, including biometrics, medicals, additional document requests, procedural fairness letters, refusal deadlines, and other time-sensitive matters.
- Ensuring confidentiality and professionalism when handling client information, personal documents, immigration history, and legal records.
- Reporting to management regarding file progress, employee performance, pending work, client issues, and any errors or concerns identified in the file preparation process.
Requirements
- Previous experience in immigration, legal, administrative, or case management work is preferred.
- Knowledge of Canadian immigration programs is an asset.
- Strong written and verbal communication skills.
- Excellent attention to detail and ability to identify errors.
- Ability to manage multiple files and deadlines.
- Strong organizational and follow-up skills.
- Ability to supervise team members and manage workflow.
- Comfortable using Google Drive, Gmail, Microsoft Office, Adobe PDF, and online immigration portals.
- Ability to maintain confidentiality and handle sensitive client information.
- Law degree, legal background, immigration experience, or RCIC office experience is an asset.
