About the Role
We are looking for a proactive, organized, and responsible Admin Executive to manage day-to-day administrative activities and ensure smooth office operations. The ideal candidate should have strong coordination, communication, and organizational skills, along with the ability to handle multiple tasks efficiently.
Key Responsibilities
- Manage day-to-day office administration and ensure smooth functioning of office facilities.
- Coordinate with vendors, service providers, and other external parties for office-related requirements.
- Maintain office supplies, stationery, pantry items, and other administrative inventory.
- Monitor and coordinate housekeeping, security, maintenance, and other facility-related services.
- Handle office seating arrangements, access cards, lockers, parking, and other employee facilities.
- Coordinate with vendors for repairs, maintenance, and office equipment.
- Maintain records, invoices, bills, contracts, and other administrative documentation.
- Assist with employee onboarding requirements, including ID cards, seating, lockers, access, and other administrative arrangements.
- Coordinate with internal departments to address and resolve day-to-day administrative concerns.
- Support management and HR with administrative tasks and company events/activities.
- Ensure office premises are maintained in a clean, organized, and professional manner.
- Track administrative expenses and assist with timely submission and processing of bills.
- Maintain adequate stock of office and pantry supplies and place orders as required.
- Handle courier, mail, and other office correspondence.
- Ensure compliance with company policies and administrative procedures.
- Perform any other administrative duties assigned by management.
Requirements
- Bachelor's degree in Business Administration, Management, or a related field.
- 1–3 years of experience in administration, office management, or a similar role.
- Strong organizational and time-management skills.
- Good verbal and written communication skills.
- Proficiency in MS Office, particularly Excel and Word.
- Ability to coordinate effectively with employees, vendors, and service providers.
- Strong attention to detail and problem-solving abilities.
- Ability to multitask and work independently with minimal supervision.
- Professional, responsible, and positive attitude.
- Ability to handle confidential information with discretion.
Preferred Skills
- Experience in handling office facilities and vendor management.
- Basic knowledge of administrative procurement and expense tracking.
- Experience supporting employee onboarding and office operations.
- Good negotiation and coordination skills.
- Ability to take ownership of tasks and follow them through to completion.
