Purpose of the Role
The Data Sharing & Compliance SPOC will act as the central approval point for external sharing of company information through Email, OneDrive, SharePoint, and other approved platforms. The role is responsible for validating recipient details, checking NDA availability, reviewing approval requests, and maintaining records related to information-sharing activities.
Key Responsibilities
* Monitor and review requests involving external sharing of company information.
* Review and approve or reject external email and file-sharing requests as per company policies.
* Verify whether the recipient company is available in the approved recipient/vendor database.
* Verify the availability of a valid NDA before approving external sharing requests.
* Maintain and regularly update:
* NDA repository
* Approved recipient/vendor database
* Sharing activity records
* Approval and rejection records
* Verify that confidential documents are protected using approved password protection or access-control mechanisms before sharing.
* Maintain records of:
* External recipients
* Shared documents
* Approval records
* NDA verification status
* Exception approvals
* Escalate requests to the concerned Department Head when:
* NDA is not available
* Recipient is not present in the approved recipient database
* Any exception approval is required
* Track and document all exceptions and approvals for audit purposes.
* Support internal audits by providing approval records and sharing logs when required.
Required Qualifications
* Bachelor's Degree in IT, Computer Applications, Commerce, Business Administration, Management, or related discipline.
Experience
* 1–2 years of experience in Documentation, Compliance, Document Control, Operations, Administration, Audit Support, or related functions.
Required Skills
* Strong documentation and record-management skills.
* Good attention to detail.
* Ability to verify documents and maintain records accurately.
* Proficiency in Microsoft Excel, Word, Outlook, and SharePoint.
* Good communication and coordination skills.
* Ability to handle confidential information responsibly.
Preferred Skills
* Experience maintaining trackers, approval records, audit documents, or NDA repositories.
* Exposure to Microsoft 365, SharePoint, OneDrive, or document management systems.
CTC Range
₹2.5 – ₹3.0 LPA
Pay: ₹200,000.00 - ₹300,000.00 per year
