Full-Time – Hyderabad / Mumbai
Experience: 5–6 Years
Working Hours: Preferred 2:00 PM – 11:00 PM IST; flexibility across UK, US, and APAC time zones as needed
About Dhwani
Dhwani Rural Information Systems (Dhwani RIS) is a social/development sector-focused advisory and consulting firm that develops IT applications for NGOs, government functionaries, CSRs, and international funding organizations to manage their projects and programs in India and abroad. We build technology solutions that support programme management, grants management, HR processes, finance, operations, monitoring & evaluation, and impact reporting. Our work combines technology, data, and social impact to solve real-world challenges at scale.
About the Role
We are looking for an Analyst to support the operations and leadership of Amazon InCommunities — Amazon’s community engagement and CSR team in India. The team runs large-scale community programs and CSR initiatives across India and internationally, with hubs in Hyderabad and Mumbai. This is a coordination and operations role at its core — you will support a senior global leader with calendar management, business reviews, team events, and day-to-day operations. If you are organised, calm under pressure, and genuinely interested in social impact work — we would like to hear from you.
What You’ll Do
1) Leadership Support
- Manage complex calendars for senior leadership across UK, US, and APAC time zones.
- Coordinate and schedule meetings, 1:1s, and reviews with internal and external stakeholders.
- Provide day-to-day executive and administrative support to the global head and regional leads.
- Handle inbox management, correspondence, and follow-ups on behalf of leadership when required.
2) Team Operations
- Plan and execute end-to-end team offsites — venue, travel, agenda, logistics, and post-event follow-up.
- Support Quarterly Business Reviews (QBRs) — coordinate schedules, prepare materials, track action items, and maintain MoMs.
- Manage team engagement activities such as recognitions, celebrations, and internal gatherings.
- Maintain trackers, documentation, and administrative records accurately.
- Track team budgets, record expenses, flag variances, and coordinate approvals.
- Adapt quickly to last-minute changes and shifting priorities.
3) Events and Community Programs
- Support planning and on-ground execution of large-scale community events in Hyderabad and Mumbai.
- Coordinate with vendors, internal teams, and external stakeholders for smooth event delivery.
- Handle attendee tracking, invitations, follow-ups, and post-event documentation.
- Provide on-site support during major events — this is a hands-on role during event periods.
What We're Looking For
You will do well in this role if you:
- Bring calm and structure to a fast-moving, multi-priority environment.
- Communicate clearly and confidently with senior leaders, global teams, and external partners.
- Take ownership — you follow through without needing to be chased.
- Are comfortable with UK working hours and occasional travel between Hyderabad and Mumbai.
- Have a genuine interest in social impact and community programmes — the team’s work matters to them, and they want it to matter to you too.
Must-Haves Experience
- 5–6 years in Executive Administration, Team Administration, Executive Assistant, or Operations Coordination roles.
- Experience supporting senior leadership or global teams.
- Demonstrated ability to manage complex, multi-timezone calendars independently.
- Experience organising and executing events, offsites, or large-scale team meetings end-to-end.
- Ability to confidently walk through projects you have managed and your specific contribution.
Professional Skills
- Strong written and verbal communication in English.
- Proficiency in calendar and scheduling tools (Outlook, Google Calendar, MS Teams, Zoom).
- Solid command of Microsoft Office Suite — Word, Excel, PowerPoint.
- Comfortable with project and task tracking tools (JIRA, Asana, ClickUp, Trello, or similar).
- Attention to detail, documentation discipline, and strong follow-through.
- Accountability and ownership mindset — you finish what you start.
Work Requirements
- Preferred working hours: 2:00 PM – 11:00 PM IST to align with UK time zone.
- The role spans UK, US, and APAC stakeholders, so occasional flexibility on either side of this window may be needed.
- Willingness to travel between Hyderabad and Mumbai based on events and business needs.
- Travel frequency and duration will vary — flexibility is important for this role.
- Must be based in Hyderabad or Mumbai. In-office presence is expected; situational WFH may be considered based on business needs.
Good to Have
- Prior exposure to social impact, CSR, or community engagement programmes. Experience with vendor management and negotiation.
- Familiarity with CRM tools such as HubSpot or Salesforce.
- Experience supporting global or cross-regional teams spanning multiple countries.
