Role Summary
The HR Manager shall be responsible for establishing, implementing, and managing all Human Resource functions of the Company. The role encompasses recruitment, onboarding, employee lifecycle management, performance management, statutory compliance, contract labour management, biometric attendance, payroll coordination, industrial relations, employee engagement, policy implementation, and HR systems. The HR Manager shall work closely with all department heads to ensure efficient manpower planning, legal compliance, and a productive work environment.
Key ResponsibilitiesRecruitment & Manpower Planning
- Plan manpower requirements in consultation with department heads.
- Prepare and update job descriptions for all positions.
- Manage end-to-end recruitment including sourcing, screening, interviewing, selection, salary negotiation, and joining formalities.
- Build and maintain a database of potential candidates for future requirements.
- Coordinate campus hiring, consultants, and recruitment agencies where required.
Employee Onboarding & Separation
- Conduct induction and orientation programs for all new employees.
- Complete joining documentation and employee file creation.
- Issue appointment letters, confirmation letters, increment letters, promotion letters, transfer letters, warning letters, and experience letters.
- Manage employee confirmations after probation.
- Conduct exit interviews and complete separation formalities.
HR Administration
- Maintain complete employee records and personnel files.
- Ensure confidentiality of employee information.
- Maintain leave records, attendance records, employee database, and HR documentation.
- Prepare HR-related correspondence and maintain document control.
Attendance & Biometric Management
- Ensure all employees and contract workers are enrolled in the biometric attendance system.
- Monitor daily attendance and resolve attendance discrepancies.
- Generate daily, weekly, and monthly attendance reports.
- Coordinate with Security to regulate factory access through biometric systems.
- Conduct periodic audits to eliminate proxy attendance and unauthorized access.
- Ensure accurate attendance records for payroll processing.
Contractor & Contract Labour Management
- Manage all contract labour engaged through contractors.
- Verify contractor manpower deployed on site on a daily basis.
- Ensure contractor compliance with labour laws and company policies.
- Maintain contractor employee records and documentation.
- Coordinate onboarding and exit formalities for contractor personnel.
- Verify contractor attendance through biometric records.
- Certify attendance for contractor bill verification.
- Coordinate with Accounts for contractor bill verification based on approved attendance.
- Liaise with contractors regarding manpower deployment, compliance, attendance, and labour-related issues.
Payroll Coordination
- Prepare attendance and leave inputs for payroll processing.
- Coordinate with Accounts to ensure timely and accurate salary processing.
- Verify overtime, incentives, deductions, and leave adjustments.
- Ensure statutory deductions are correctly applied.
Performance Management
- Implement probation evaluation and confirmation processes.
- Coordinate annual and periodic performance appraisals.
- Assist department heads in developing KPIs and KRAs.
- Monitor employee performance and development plans.
Employee Relations & Engagement
- Address employee grievances promptly and professionally.
- Maintain harmonious employee relations.
- Organize employee engagement activities, welfare initiatives, and recognition programs.
- Conduct employee counselling whenever necessary.
- Promote a positive workplace culture.
Training & Development
- Identify training needs across departments.
- Prepare annual training calendars.
- Coordinate internal and external training programs.
- Monitor employee skill development and training effectiveness.
HR Policies & SOPs
- Develop, implement, and update HR policies.
- Prepare HR Standard Operating Procedures (SOPs).
- Maintain the Employee Handbook.
- Ensure consistent implementation of HR policies throughout the organization.
Statutory Compliance
- Ensure compliance with all applicable labour laws and regulations.
- Coordinate PF, ESI, Bonus, Gratuity, Professional Tax, Labour Welfare Fund, CLRA, Factories Act, Shops & Establishments Act (where applicable), and other statutory requirements.
- Maintain statutory registers and records.
- Coordinate inspections and liaison with statutory authorities and consultants.
Industrial Relations & Discipline
- Handle disciplinary matters in accordance with company policy.
- Issue warning letters, show-cause notices, suspension letters, and disciplinary communications.
- Coordinate domestic enquiries wherever required.
- Maintain harmonious industrial relations with employees and contract labour.
HR MIS & Reporting
- Prepare daily, weekly, and monthly HR MIS reports covering:
- Headcount
- Recruitment status
- Attendance
- Leave
- Overtime
- Contract labour deployment
- Attrition
- Training
- Statutory compliance
- Vacancies
- Employee movements
- Present HR reports to management as required.
Qualifications
- MBA / PGDM in Human Resources, Industrial Relations, or equivalent.
- Bachelor's degree in any discipline.
- Certification in Labour Laws or Industrial Relations will be an added advantage.
Experience
- Minimum 5–8 years of HR experience, preferably in a manufacturing, steel, engineering, or industrial environment.
- Experience managing factory workforce and contract labour.
- Working knowledge of biometric attendance systems, payroll coordination, and HRMS software.
