Role Description
We are seeking a highly organized and proactive Executive Assistant to support the Human Resources leadership team. The role will provide administrative, coordination, and operational support to ensure smooth day-to-day functioning of the HR office.
The ideal candidate will be detail-oriented, professional, and comfortable working with senior stakeholders, confidential information, and multiple priorities. This role requires strong communication skills, sound judgment, and the ability to manage tasks efficiently in a fast-paced environment.

Your key responsibilities
- Provide day-to-day administrative and coordination support to HR leaders and teams.
- Manage calendars, schedule meetings, coordinate logistics, and prepare meeting materials where required.
- Support HR team activities, leadership reviews, employee engagement initiatives, and internal events.
- Coordinate with internal stakeholders across HR, business teams, support functions, and external partners as needed.
- Assist with preparation of presentations, reports, trackers, dashboards, and other HR-related documentation.
- Manage confidential information with discretion and ensure appropriate handling of sensitive HR matters.
- Support travel, expense, invoice, purchase order, and administrative processes in line with internal guidelines.
- Track follow-ups, action items, approvals, and deadlines to ensure timely closure.
- Help streamline administrative processes and identify opportunities to improve team efficiency.
- Provide general support on HR projects, communications, and operational activities as required.
Your skills and experience
- Prior experience as an Executive Assistant, Team Assistant, HR Coordinator, or in a similar administrative support role.
- Strong calendar management, coordination, and organizational skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities with attention to detail and follow-through.
- High level of professionalism, discretion, and confidentiality.
- Comfortable working with senior stakeholders and cross-functional teams.
- Proficiency in Microsoft Office tools such as Outlook, Excel, PowerPoint, Word, and Teams.
- Ability to work independently, anticipate requirements, and take ownership of tasks.
- Strong problem-solving mindset and willingness to support process improvements.
- Proven ability to leverage AI tools to enhance productivity, optimise workflows to solve business problems, while applying critical judgment to ensure responsible and ethical use of data and AI outputs.
