Position OverviewThe Senior Manager, Facilities Management is responsible for leading and delivering comprehensive facilities management services across assigned portfolios. This role requires strategic oversight of multi-disciplinary service delivery, vendor partnerships, client relationships, and team leadership while ensuring operational excellence, regulatory compliance, and continuous innovation in facilities operations.
Key ResponsibilitiesJanitorial Services ManagementOversee comprehensive janitorial operations including cleaning programs, hygiene standards, and quality assurance protocols. Develop and implement cleaning schedules, scope of work definitions, and service level agreements aligned with client requirements and industry best practices. Monitor service delivery through regular inspections, audit programs, and performance metrics. Ensure adherence to health and safety standards, infection control protocols, and sustainability initiatives. Manage day-to-day operations, resource allocation, and emergency response procedures for cleaning-related incidents.
Waste ManagementLead waste management strategy including segregation, collection, storage, transportation, and disposal across all waste streams (general, recyclable, hazardous, e-waste, biomedical). Ensure compliance with environmental regulations and municipal waste disposal guidelines. Implement waste reduction programs and recycling initiatives to achieve sustainability targets. Monitor waste generation patterns, disposal costs, and vendor performance. Coordinate with regulatory authorities for necessary permits, manifests, and documentation. Drive circular economy initiatives and zero-waste-to-landfill programs where applicable.
Landscaping ServicesManage landscape maintenance including lawn care, horticulture, irrigation systems, tree management, and seasonal planting programs. Develop landscape improvement plans that enhance property aesthetics while optimizing water consumption and maintenance costs. Coordinate pest control, weed management, and turf care programs. Ensure landscape equipment maintenance and operator safety. Implement sustainable landscaping practices including native plantings, water-efficient irrigation, and organic maintenance methods. Oversee landscape contractors and monitor service quality through regular site inspections.
Parking ManagementOversee parking facility operations including access control systems, payment collection, space allocation, and traffic flow management. Implement parking policies, permit programs, and visitor management protocols. Monitor parking utilization, revenue collection, and operational efficiency. Coordinate parking equipment maintenance including barriers, ticketing systems, and payment kiosks. Ensure safety and security through proper lighting, signage, line marking, and surveillance systems. Develop parking optimization strategies to maximize space utilization and enhance user experience.
Civil & Interior WorksManage minor civil and interior renovation projects including space planning, refurbishment, tenant improvements, and building modifications. Coordinate design development, contractor selection, project execution, and handover processes. Ensure projects are delivered on time, within budget, and to required quality standards. Monitor construction activities for safety compliance, quality control, and minimal operational disruption. Oversee finishing works, painting, flooring, false ceiling, partitions, and fixture installations. Maintain project documentation including drawings, approvals, completion certificates, and warranty records.
Vendor ManagementEstablish and maintain strategic vendor partnerships across all facility service disciplines. Lead vendor selection processes including RFP development, technical evaluation, commercial negotiation, and contract finalization. Monitor vendor performance through KPIs, service level agreements, and regular business reviews. Ensure contractual compliance, payment processing, and dispute resolution. Develop vendor development programs to enhance service quality and drive continuous improvement. Maintain vendor databases, contract registers, and insurance compliance records. Foster collaborative relationships that drive value and innovation.
Client ManagementServe as primary point of contact for client interactions, relationship management, and service delivery coordination. Understand client business objectives, operational requirements, and service expectations. Conduct regular client meetings, service reviews, and satisfaction surveys. Present operational reports, performance dashboards, and improvement initiatives. Manage service requests, escalations, and issue resolution processes. Develop trusted advisor relationships through proactive communication, responsiveness, and value-added consulting. Identify opportunities for service enhancement and portfolio growth.
People LeadershipLead, mentor, and develop a high-performing facilities management team including supervisors, coordinators, and technical specialists. Set clear performance objectives, conduct regular reviews, and provide coaching and development opportunities. Foster a culture of accountability, continuous learning, and operational excellence. Manage recruitment, onboarding, training programs, and succession planning. Promote employee engagement, recognition programs, and retention initiatives. Ensure team members have necessary resources, tools, and support to deliver exceptional service. Champion diversity, inclusion, and workplace safety across all team activities.
Thriving for New Technology and InnovationDrive digital transformation and technology adoption across facilities operations. Evaluate and implement innovative solutions including IoT sensors, building management systems, mobile applications, and analytics platforms. Champion predictive maintenance, automation, and smart building technologies. Lead pilot programs for emerging technologies such as robotics, AI-driven optimization, and sustainability innovations. Develop business cases for technology investments demonstrating ROI and operational benefits. Stay current with industry trends, attend conferences, and network with technology providers. Create culture of innovation encouraging team members to propose and test new approaches.
Knowledge of Statutory and Building CompliancesEnsure full compliance with applicable statutory requirements including fire safety, electrical safety, building codes, environmental regulations, and occupational health and safety standards. Maintain updated knowledge of local municipal regulations, national building codes, and industry-specific compliance requirements. Coordinate regulatory inspections, audits, and certification renewals. Maintain compliance documentation including permits, licenses, inspection reports, and maintenance records. Implement compliance management systems and conduct internal audits. Provide training to team members on compliance requirements and ensure adherence across all operations. Liaise with regulatory authorities, consultants, and certification bodies.
Required QualificationsEducation: Bachelor's degree in Engineering, Facilities Management, Business Administration, or related field.
Technical Skills: Comprehensive knowledge of building systems, facilities operations, contract management, and regulatory compliance. Knowledge of AI tools, MS Office Suite, and project management tools.
Leadership Competencies: Proven track record of building and leading high-performing teams, managing change, and driving operational excellence in complex environments.
Business Acumen: Strong financial management skills including budgeting, cost control, and P&L management. Demonstrated ability to deliver measurable business outcomes and client value.
Communication: Excellent written and verbal communication skills with ability to engage effectively with diverse stakeholders including C-suite executives, vendors, regulatory authorities, and frontline staff.
