JOB DESCRIPTION – HR MANAGER
Position: HR Manager

JOB SUMMARY
The HR Manager will be responsible for managing the complete Human Resources function of Hotel Prayana, including recruitment, employee relations, attendance, payroll coordination, training, performance management, statutory compliance, staff welfare and HR administration.
The role requires a proactive and people-oriented professional who can maintain discipline, improve employee engagement, support departmental heads and ensure smooth manpower operations across the Hotel, Restaurant, Bar, Kitchen, Front Office, Housekeeping, Accounts and other departments.
KEY RESPONSIBILITIES
1. Recruitment & Manpower Planning
- Handle end-to-end recruitment for all hotel departments.
- Prepare and update job descriptions according to operational requirements.
- Source candidates through job portals, institutes, references, social media and recruitment agencies.
- Conduct preliminary interviews and coordinate final interviews with concerned HODs/Management.
- Maintain a database of potential candidates for future vacancies.
- Ensure timely recruitment based on departmental manpower requirements.
- Coordinate joining formalities and employee documentation.
2. Attendance & Leave Management
- Monitor daily employee attendance, late coming, absenteeism, weekly offs and leave.
- Maintain accurate attendance records for all employees.
- Prepare monthly attendance reports for payroll processing.
- Monitor duty rosters and ensure proper manpower deployment.
- Coordinate with HODs regarding staffing shortages and attendance-related issues.
3. Payroll & Salary Coordination
- Coordinate with Accounts for monthly salary processing.
- Verify attendance, leave, incentives, deductions and other payroll-related information.
- Maintain proper records of salary advances, deductions and employee benefits.
- Ensure payroll inputs are submitted accurately and on time.
4. Employee Relations
- Act as a point of contact for employee concerns and grievances.
- Maintain a positive and professional working environment.
- Resolve employee issues fairly and confidentially.
- Conduct regular communication with employees and HODs to identify workplace concerns.
- Promote teamwork, discipline, professionalism and mutual respect.
5. Employee Discipline
- Ensure employees follow hotel rules, policies, grooming standards and code of conduct.
- Monitor disciplinary issues and take appropriate action in consultation with Management.
- Issue warnings/notices where required and maintain proper documentation.
- Ensure punctuality, proper uniform, grooming, hygiene and professional behaviour.
6. Training & Development
- Identify training requirements in coordination with department heads.
- Organize induction programs for new employees.
- Conduct or coordinate training on:
- Guest service
- Grooming and hygiene
- Workplace discipline
- Communication skills
- Fire and emergency procedures
- Hotel policies and SOPs
- Workplace safety
- Maintain employee training records.
- Encourage continuous professional development.
7. Performance Management
- Coordinate employee performance evaluations with HODs.
- Maintain probation and confirmation records.
- Monitor employee performance and attendance during probation.
- Support Management in promotions, transfers, increments and performance improvement plans.
8. Staff Welfare & Accommodation
- Monitor staff welfare and working conditions.
- Manage staff accommodation-related administration.
- Ensure proper discipline and cleanliness in staff accommodation.
- Address staff accommodation concerns and coordinate necessary corrective actions.
- Organize employee engagement activities and staff meetings when required.
9. Statutory Compliance & HR Documentation
- Maintain proper employee records and statutory registers.
- Ensure compliance with applicable labour and employment regulations.
- Coordinate with external consultants where required for statutory matters.
- Maintain records relating to employee joining, confirmation, transfers, promotions, warnings and exits.
- Ensure HR documents are properly filed and kept confidential.
10. Exit & Full & Final Settlement
- Conduct exit interviews where applicable.
- Process resignation and relieving formalities.
- Coordinate full and final settlement with Accounts.
- Ensure company/hotel property is returned before relieving.
- Maintain proper employee separation records.
Pay: ₹20,000.00 - ₹25,000.00 per month
