Position Summary
We are seeking a highly organized and detail-oriented Property Management Maintenance Assistant to support our property management team remotely. The successful candidate will coordinate maintenance requests, communicate with tenants, vendors, and property managers, track work orders, maintain records, and ensure maintenance issues are resolved efficiently and professionally.
Key ResponsibilitiesMaintenance Coordination
- Receive and review maintenance requests from tenants.
- Create and assign work orders to appropriate vendors and contractors.
- Schedule maintenance appointments and coordinate access to properties.
- Follow up with tenants and vendors regarding repair status.
- Monitor completion timelines and ensure timely resolution of maintenance issues.
- Escalate urgent or emergency maintenance matters to management.
Tenant Communication
- Respond to tenant inquiries via phone, email, text messages, and property management software.
- Provide updates on maintenance requests and repair schedules.
- Maintain professional and courteous communication with tenants.
Vendor Management
- Contact and coordinate with plumbers, electricians, HVAC technicians, cleaners, handymen, and other contractors.
- Obtain repair estimates and quotations when required.
- Track vendor performance and completion of assigned work.
- Ensure invoices and supporting documents are received and submitted properly.
Administrative Duties
- Maintain accurate maintenance logs and work order records.
- Update property management software with notes, invoices, and completed work orders.
- Prepare maintenance reports for management.
- Organize digital files and documentation.
- Assist with move-in and move-out maintenance coordination.
Compliance & Documentation
- Ensure maintenance records are properly documented.
- Track inspections, preventive maintenance schedules, and vendor certifications.
- Assist with insurance claims and maintenance-related documentation when required.
Qualifications
- Previous experience in property management, maintenance coordination, customer service, or administrative support preferred.
- Strong verbal and written English communication skills.
- Excellent organizational and multitasking abilities.
- Ability to work independently with minimal supervision.
- Strong problem-solving skills and attention to detail.
- Experience with Microsoft Office (Word, Excel, Outlook).
- Experience using property management software is an asset.
Preferred Skills
- Knowledge of residential property maintenance processes.
- Familiarity with Canadian property management practices.
