Zato Uniforms is seeking an organized, detail-oriented, and proactive Office Assistant to support our daily administrative and business operations. In this role, you will serve as a foundational support link between management, production tracking, and client correspondence. The ideal candidate possesses strong organizational skills, excellent communication abilities, and the capacity to handle administrative documentation with precision.
Key Responsibilities Administrative Support & Documentation
- Maintain, organize, and update digital and physical filing systems for employee records, personnel documentation, and experience letters.
- Draft, format, and distribute internal business notices, announcements, and policy updates.
- Manage incoming and outgoing correspondence (emails, letters, and packages).
- Assist management with routine documentation, data entry, and basic clerical tasks.
Operations & Order Coordination
- Help maintain accurate logs of client garment design specifications, including logo placements, fabric patterns, and color blocking requests.
- Coordinate with the production or design teams to ensure administrative details regarding uniform orders (such as corporate, hospitality, or medical client files) are up to date.
- Organize and track supplier invoices, purchase orders, and packing slips.
Communication & Client Relations
- Serve as a reliable point of contact for routine inquiries from clients, suppliers, or staff members.
- Effectively communicate technical instructions or business updates in both English and Malayalam as required by business operations.
- Assist in communicating general notices—such as operational updates or pricing adjustments—to relevant parties professionally.
Basic Financial & Inventory Tracking
- Assist the accounting department by organizing receipts, bills, and tracking basic expense documentation.
- Monitor office supply inventories and coordinate restocking to ensure uninterrupted daily operations.
Qualifications & Skills
- Experience: Previous experience in an administrative support, office assistant, or clerical role is preferred. (Experience within the apparel, manufacturing, or textile industry is a major plus).
- Language Proficiency: Fluent written and verbal communication skills in both English and Malayalam.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel) or Google Workspace. Ability to comfortably navigate digital documentation and basic database management.
- Attention to Detail: High level of accuracy in data entry and maintaining precise business records.
- Time Management: Strong organizational skills with the ability to prioritize tasks efficiently in a dynamic workspace.
