Position: Forms Completion Specialist / Regulatory Compliance Specialist

Position Summary:
The Forms Completion Specialist / Regulatory Compliance Specialist is responsible for the accurate preparation, completion, and submission of government, regulatory, and cybersecurity compliance forms on behalf of the organization. This role ensures timely compliance with federal, state, and local filing requirements - including cybersecurity incident reporting, attestations, and framework documentation - and serves as a subject matter resource for regulatory documentation processes. The ideal candidate has meticulous attention to detail, strong organizational skills, and experience navigating government portals, regulatory frameworks, and cybersecurity compliance requirements.
Key Responsibilities
Regulatory Form Preparation & Submission
- Accurately complete and submit government and regulatory forms including federal, state, and municipal filings (e.g., agency applications, compliance certifications, permits, registrations, and renewal forms).
- Review source documents and internal records to gather required data prior to form completion.
- Verify all submissions for accuracy, completeness, and conformance with applicable regulatory requirements before filing.
- Track submission deadlines and maintain a calendar of required filings to ensure on-time compliance.
- Submit forms through government portals, electronic filing systems, or mail as required by each agency.
Records Management & Documentation
- Maintain organized records of all submitted forms, confirmations, correspondence, and regulatory notices.
- Develop and maintain a filing log or tracking system to monitor submission status and agency responses.
- Ensure all documentation is retained in accordance with company record retention policies and regulatory requirements.
Compliance Monitoring & Communication
- Monitor regulatory updates from relevant agencies and assess impact on existing filing processes.
- Communicate with government agencies to resolve discrepancies, respond to inquiries, and obtain confirmations.
- Collaborate with internal departments (Legal, Finance, HR, Operations) to gather required information and ensure data accuracy.
- Escalate complex compliance issues or ambiguous regulatory requirements to the Compliance Manager.
- Cybersecurity Compliance Forms
- Complete and submit cybersecurity-related regulatory forms and attestations, including those required under frameworks such as CMMC, NIST SP 800-171, CISA directives, and state-level data privacy regulations.
- Prepare and file incident reporting forms with applicable agencies (e.g., CISA, FBI IC3, HHS OCR) in accordance with mandatory breach notification timelines.
- Support the completion of vendor and third-party cybersecurity questionnaires, security assessment forms, and supply chain risk documentation.
- Assist in the preparation of System Security Plans (SSPs), Plans of Action & Milestones (POA&Ms), and related documentation required by federal contracts or regulatory bodies.
- Coordinate with IT and Information Security teams to obtain accurate technical data required for cyber compliance filings.
- Track cybersecurity compliance deadlines including annual attestations, re-certifications, and regulatory renewal filings.
Process Improvement
- Identify opportunities to improve form completion workflows, reduce errors, and increase submission efficiency.
- Assist in the development and maintenance of standard operating procedures (SOPs) for regulatory filing activities.
- Train staff on proper completion of routine forms as needed.
Work Environment
- Primarily office-based; hybrid arrangements may be considered after an initial onboarding period.
- Extended periods of desk work involving computer use and document review.
- Occasional deadlines may require extended hours during peak filing periods.
Required Qualification
- Bachelor’s degree in Computer Science, Cybersecurity, Business, Commerce, IT, Law, or related field.
- 1–5 years of experience in cybersecurity, compliance, audit support, or risk management
- Experience with regulatory filings specific to [industry - e.g., manufacturing, import/export, environmental compliance, labor & employment].
- Familiarity with federal agency portals such as SAM.gov, Pay.gov, FDA eCTD, EPA CDX, or equivalent state systems.
- Familiarity with cybersecurity compliance frameworks including CMMC, NIST SP 800 171/800-53, SOC 2, or FedRAMP documentation requirements.
- Experience preparing or supporting federal cybersecurity incident reports, breach notifications, or POA&M documentation.
- Exposure to IT GRC (Governance, Risk, and Compliance) platforms such as ARCHER, ServiceNow GRC, or similar tools.
- Experience in a compliance, legal, government affairs, or IT security environment.
Pay: ₹500,000.00 - ₹700,000.00 per year
