Executive Assistant – Director

Job Summary:
We are seeking a proactive and detail-oriented Executive Assistant with prior
experience or interest in the tours & travel industry. The role involves providing highlevel
administrative support to senior management while coordinating travel-related
operations, client interactions, and business development activities. The ideal candidate
should have strong organizational skills, industry knowledge, and the ability to handle
confidential information with discretion.
Key Responsibilities:
Executive Support:
Manage and maintain the executive’s calendar, schedule meetings, and
coordinate appointments.
Draft, review, and manage correspondence, reports, and presentations.
Handle confidential documents, ensuring security and proper filing.
Act as the point of contact between the executive and internal/external
stakeholders.
Travel & Tour Coordination:
Plan and manage complex travel itineraries, including flights, accommodations,
visas, and transfers for executives and VIP clients.
Coordinate with airlines, hotels, DMCs (Destination Management Companies),
and vendors for seamless arrangements.
Assist in preparing proposals, quotations, and itineraries for clients or corporate
groups.
Monitor and ensure accuracy of bookings, vouchers, and travel documentation.
Industry-Specific Tasks:
Maintain updated knowledge of travel industry trends, destinations, and
regulations (passport, visa, insurance).
Support in vendor negotiations and contracts related to travel and hospitality
services.
Assist in organizing corporate events, conferences, or incentive travel programs.
Prepare MIS reports, sales trackers, and client databases for management review.
Administrative & Office Management:
Organize internal and external meetings, prepare agendas, and take minutes.
Support in HR and finance coordination tasks (timesheets, invoices,
reimbursements).
Handle day-to-day office communications and follow-ups with different
departments.
Qualifications & Skills:
Bachelor’s degree (preferably in Business Administration, Travel & Tourism,
or related field).
0–1 year of experience as an Executive Assistant or in a similar role (travel
industry experience preferred).
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); knowledge of
GDS/CRM tools is an advantage.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities with attention to detail.
Ability to work independently, handle pressure, and maintain confidentiality.
