About the Role
We are looking for a detail-oriented and organized Import Data Handling Executive to manage import-related documentation, shipment data, coordination, and MIS reporting.
The ideal candidate must have hands-on experience working with a Clearing & Forwarding (C&F) Agent, Customs Office, Ground Office, or related import/logistics operations. The candidate should have a good understanding of import documentation and customs-related processes, along with strong MS Excel and Tally skills.
Key Responsibilities
- Maintain and update import shipment records, databases, and documentation.
- Handle and verify import documents including Commercial Invoices, Packing Lists, Bills of Entry, Shipping/Import documents and related paperwork.
- Coordinate with Clearing Agents (CHA), Customs officials, freight forwarders, transporters, and ground office teams.
- Track import shipments and provide timely updates on shipment status.
- Coordinate with the C&F/clearing agent for customs clearance and documentation requirements.
- Enter, update, and validate import-related data in ERP/Excel systems.
- Maintain accurate records of shipments, clearance status, material movement, and related transactions.
- Prepare daily/weekly/monthly MIS reports related to imports and shipments.
- Coordinate with Purchase, Finance, Warehouse, and Logistics teams for smooth movement of imported materials.
- Ensure all import documentation is complete, accurate, and available for internal records.
- Follow up on pending documents, clearances, and shipment-related issues.
- Assist in maintaining proper documentation for audit and compliance purposes.
- Ensure adherence to company policies and import documentation procedures.
Mandatory Requirements
- Graduate in Commerce, Business Administration, Logistics, or a related field.
- 1–3 years of relevant experience in import documentation, customs clearance, logistics, or data handling.
- Mandatory experience with a Clearing Agent/CHA, Customs Office, Ground Office, or C&F operation.
- Practical knowledge of import documentation and customs clearance procedures.
- Good knowledge of MS Excel, including VLOOKUP, Pivot Tables, data filtering, sorting, and basic MIS preparation.
- Hands-on experience in Tally is mandatory/preferred.
- Experience with ERP software will be an added advantage.
- Strong data-entry accuracy and documentation skills.
- Good communication, coordination, follow-up, and organizational skills.
- Ability to work under deadlines while maintaining high accuracy.

Important Note for Candidates
Candidates with hands-on experience in Clearing Agent/CHA, Customs Office, Ground Office, or C&F operations are strongly preferred. Candidates without relevant import/customs exposure may not be considered.
Work Location: Kolkata | In-person
Pay: ₹15,000.00 - ₹20,000.00 per month
