Why this role exists
We are a scaling company undergoing significant transition. The Managing Director needs a high‑ownership Executive Assistant who is deeply curious about how the business operates, eager to learn across departments, and relentless about follow‑through. This is not a personal assistant role. You will be the MD’s operational right hand facilitating our daily Gemba walk, owning meeting cadences, tracking actions across teams, and ensuring the MD’s priorities move from intention to impact.
What you’ll do
- Own the full meeting lifecycle: pre‑reads and agendas (sent ≥24 hours prior), timekeeping, notes, and high‑quality minutes.
- Maintain a single source of truth for decisions, owners, due dates, and status; chase and unblock until done.
- Open each day’s meeting with prior‑day minutes and status on open actions.
- Confirm each department’s stand‑up occurred; capture blockers, risks, and dependencies.
- Ensure follow‑ups from yesterday’s Gemba are completed or escalated.
- Publish a concise Gemba summary to the MD and relevant leads before midday.
- Serve as the MD’s one point of contact with all team leads; triage inputs, prioritize, and surface what truly needs the MD’s attention.
- Build light analyses in Sheets/Excel to quantify progress, budgets, and ROI.
- Prepare weekly scorecards: key metrics, variances vs plan, and escalations.
- Manage domestic and international travel; optimize fares using loyalty programs and card points.
- Track points balances, blackout dates, and compare cash vs points for best value.
- Handle visas, itineraries, changes, and reconciliations.
- Draft crisp memos, summaries, and updates on behalf of the MD.
- Maintain organized digital filing of minutes, decisions, contracts, and playbooks.
What success looks like (KPIs)
- 100% of MD meetings have agendas & pre‑reads ≥24h in advance; minutes sent ≤2h after.
- ≥90% of action items completed by agreed due dates.
- Daily Gemba: all departments visited; issues logged and owners assigned same day.
- Travel savings: measurable savings vs benchmark (cash vs points).
- MD spends time on the top‑priority 10-20% of issues driving 80% of impact.
What you bring
- 4-8+ years in an operations‑heavy EA, Business Operations, or Chief‑of‑Staff‑type role.
- Strong follow‑through and closure skills.
- Numeracy and comfort with spreadsheets (pivot tables, lookups).
- Experience facilitating daily stand‑ups / Gemba or similar.
- Excellent communication; concise minutes and summaries.
- Ability to coordinate across multiple teams and senior stakeholders.
- High integrity and discretion with sensitive information.
Nice‑to‑haves
- Exposure to Lean/Kaizen or Six Sigma.
- Tools: Google Workspace, Slack, Notion, Asana, Airtable, BI tools.
- Experience optimizing loyalty programs/points and vendor negotiations.
- Experience in high‑growth or transitional environments.

Ways of working
- Onsite presence to run the daily Gemba walk and interact with front‑line teams.
- Core hours: Monday to Saturday, 9:00 AM to 5:30 PM.
- Occasional travel for offsites/vendor meetings.
