Job Title: Admin Executive
Department: Operations / HR
Location: Hyderabad
Experience: 2–5 years (flexible based on fit)
About the Role
We are looking for a proactive and detail-oriented Admin Executive to manage day-to-day administrative operations and ensure smooth workplace functioning. This role will work closely with HR, Finance, and Operations teams and will be responsible for compliance, vendor and facility management, employee support, travel logistics, and documentation.
Key Responsibilities
1. Compliance & HR Compliance
- Maintain and track statutory and labour law compliance (PF, ESIC, Shops & Establishment, Gratuity, etc.).
- Coordinate with external consultants for compliance filings and renewals.
- Maintain employee records, documentation, and compliance trackers.
- Support HR in onboarding and offboarding documentation.
2. Vendor & Facility Management
- Manage office vendors (housekeeping, pantry, internet, security, maintenance, etc.).
- Negotiate contracts, track renewals, and ensure timely payments.
- Ensure smooth functioning of office facilities and workplace readiness.
- Handle office procurement and inventory (stationery, supplies, equipment).
3. Travel & Logistics
- Manage end-to-end travel arrangements (flights, trains, hotels, local transport).
- Coordinate logistics for team events, offsites, and client visits.
- Maintain travel expense documentation and coordination with finance.
4. Employee Support & Office Operations
- Act as the first point of contact for employee administrative requests.
- Support new joiner setup (workspace, ID cards, access, assets).
- Coordinate employee engagement activities and office events.
- Ensure a smooth and positive workplace experience.
5. Finance & Documentation Support
- Manage vendor invoices, PO coordination, and expense tracking.
- Support finance team with documentation, reimbursements, and record keeping.
- Maintain organized digital and physical records of agreements and contracts.
6. Medical Insurance & Employee Benefits
- Coordinate employee medical insurance enrollment, additions, and deletions.
- Liaise with insurance providers for claims, renewals, and queries.
- Support employees with insurance-related documentation and processes.
Requirements
- 2–5 years of experience in Admin/HR/Operations roles.
- Good understanding of basic statutory and HR compliances.
- Strong coordination and vendor management skills.
- Excellent organizational and multitasking abilities.
- Good communication and stakeholder management skills.
- Proficiency in Google Workspace / MS Office.
Nice to Have
- Experience in a startup or fast-paced environment.
- Exposure to HR operations or finance coordination.
