Role Overview
The Vendor Coordinator is responsible for coordinating with vendors, contractors, and suppliers to ensure smooth execution of projects. This role focuses on vendor follow-ups, material movement, scheduling, and resolving coordination issues to avoid delays in execution.
Key ResponsibilitiesVendor Coordination & Follow-Ups
- Coordinate daily with vendors, subcontractors, and suppliers for ongoing projects.
- Ensure vendors adhere to committed timelines and delivery schedules.
- Follow up on pending work, material dispatches, and manpower deployment.
- Escalate delays or non-performance immediately.
Material & Delivery Coordination
- Track material orders, dispatches, and site deliveries.
- Ensure materials are delivered as per approved specifications and timelines.
- Coordinate with procurement and site teams for smooth material flow.
- Prevent site delays due to material shortages or miscommunication.
Execution Support
- Coordinate with project managers, site engineers, and execution teams for vendor scheduling.
- Ensure vendors are aligned with site readiness and work sequencing.
- Support smooth handover between production, vendors, and site teams.
Vendor Documentation & Records
- Maintain vendor database including contacts, work categories, and performance history.
- Track work orders, delivery schedules, invoices, and approvals.
- Ensure proper documentation of vendor communications and commitments.
Quality & Performance Monitoring
- Track vendor performance on timelines, responsiveness, and quality.
- Report recurring issues and support corrective actions.
- Coordinate with operations team to resolve vendor-related concerns.
Billing & Payment Coordination
- Coordinate submission of vendor bills and supporting documents.
- Follow up internally for bill approvals and payment status.
- Ensure vendor payments are aligned with work completion milestones.
Communication & Issue Resolution
- Act as the communication bridge between vendors and internal teams.
- Resolve day-to-day coordination issues quickly to avoid execution impact.
- Maintain professional vendor relationships while ensuring accountability.
Required Skills & Competencies
- Strong follow-up and coordination ability.
- Good communication and negotiation skills.
- Ability to handle multiple vendors and projects simultaneously.
- Basic understanding of construction/interior execution processes.
Experience & Qualifications
- 2–5 years of experience in vendor coordination, operations, or project support.
- Experience in construction, interiors, or related industry preferred.
- Graduate in any discipline.
Pay: ₹25,000.00 - ₹35,000.00 per month
