Position Summary
The Maintenance Manager will be responsible for the complete lifecycle of the company's fleet maintenance operations, including preventive maintenance, breakdown management, workshop operations, spare parts inventory, vendor coordination, statutory compliance, and continuous improvement of fleet reliability.
The role demands strong technical expertise, leadership skills, analytical thinking, and the ability to maintain high operational efficiency.
Key ResponsibilitiesFleet Maintenance Management
- Plan and execute preventive maintenance schedules for the entire fleet.
- Ensure all buses remain roadworthy and available for operations.
- Reduce vehicle downtime through proactive maintenance planning.
- Develop maintenance calendars based on mileage, engine hours, and manufacturer recommendations.
- Monitor vehicle health and maintenance history.
Workshop Operations
- Supervise workshop technicians and maintenance staff.
- Allocate daily repair work.
- Ensure repairs are completed within committed turnaround times.
- Maintain cleanliness, safety, and discipline within the workshop.
- Standardize repair procedures.
Breakdown Management
- Coordinate immediate response to vehicle breakdowns.
- Liaise with OEM service centres including BharatBenz, Ashok Leyland, Tata Motors, Volvo, etc.
- Ensure minimal operational disruption.
- Conduct root cause analysis after every major breakdown.
- Implement corrective actions to prevent recurrence.
Preventive Maintenance
- Create preventive maintenance checklists.
- Schedule servicing before failures occur.
- Monitor critical components including:
- Engine
- Transmission
- Braking systems
- Suspension
- Steering
- Electrical systems
- HVAC
- Tyres
- Battery systems
Spare Parts & Inventory
- Maintain optimum inventory levels.
- Forecast spare parts requirements.
- Coordinate procurement.
- Prevent stock-outs of critical components.
- Maintain vendor relationships.
- Verify quality of replacement parts.
Vendor & OEM Management
- Coordinate with manufacturers and authorized service centres.
- Negotiate repair timelines.
- Process warranty claims.
- Track pending parts.
- Escalate unresolved technical issues.
- Evaluate vendor performance periodically.
Cost Control
- Monitor maintenance expenses.
- Analyse repair costs per vehicle.
- Improve component life.
- Reduce unnecessary expenditure.
- Recommend cost-saving initiatives without compromising safety.
Documentation & Compliance
Maintain complete records of:
- Service history
- Repairs
- Insurance-related repairs
- Warranty claims
- Fitness certificates
- Pollution certificates
- Road tax compliance
- Maintenance logs
- Breakdown reports
Team Leadership
- Lead mechanics, electricians, helpers, and supervisors.
- Conduct technical training.
- Evaluate staff performance.
- Build a culture of accountability and preventive maintenance.
Safety & Quality
Ensure:
- Workshop safety protocols
- Proper tool usage
- PPE compliance
- Fire safety
- Quality inspection before vehicle release
- Zero compromise on passenger safety
Key Performance Indicators (KPIs)
The Maintenance Manager will be evaluated based on:
- Fleet availability percentage
- Vehicle uptime
- Breakdown frequency
- Mean Time Between Failures (MTBF)
- Mean Time to Repair (MTTR)
- Preventive maintenance compliance
- Workshop turnaround time
- Maintenance cost per kilometre

Required Qualifications
- Diploma or Bachelor's Degree in Mechanical Engineering, Automobile Engineering, or a related field.
- 5–10 years of experience in fleet maintenance, preferably in passenger transport, logistics, commercial vehicles, or heavy-duty automotive operations.
- Experience managing workshops and maintenance teams.
- Strong understanding of commercial vehicle systems.
Preferred Skills
- Strong diagnostic and troubleshooting skills.
- Knowledge of BharatBenz, Ashok Leyland, Tata Motors, Volvo, Scania, or similar commercial vehicles.
