Role Overview:
We are looking for a detail-oriented and proactive Import Export Executive who can efficiently manage end-to-end import and export operations, handle all trade documentation, track shipments in real time, and maintain strong communication with clients while their consignments are in transit. The role also involves identifying and onboarding new clients to expand our international trade network.
Key Responsibilities:
- Prepare, verify, and manage all import/export documentation including Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, Shipping Bill, and Bill of Entry Coordinate with freight forwarders, shipping lines, CHA (Custom House Agents), and transporters for smooth shipment execution Track shipments end-to-end and provide timely updates to clients on shipment status, delays, and ETAs Maintain proactive communication with clients throughout the shipment journey — from booking to final delivery Handle customs clearance procedures, DGFT compliance, IEC (Import Export Code) formalities, and liaison with customs authorities Process and manage Letter of Credit (LC), bank documents, and foreign exchange documentation in coordination with the finance team Identify and onboard new import/export clients by understanding their trade requirements and offering suitable logistics and documentation solutions Negotiate freight rates, terms, and delivery schedules with shipping lines, carriers, and logistics partners Maintain accurate records of all shipments, trade documents, and client communications in the ERP/documentation system Resolve shipment discrepancies, delays, and client escalations promptly and professionally Prepare MIS reports on shipment status, pending clearances, and trade volumes for management review
Requirements:
- 2–5 years of hands-on experience in import/export operations, freight forwarding, or international trade Strong knowledge of import/export documentation, Incoterms, customs procedures, and DGFT regulations Experience coordinating with CHAs, freight forwarders, shipping lines, and banks for LC/documentation Excellent client communication skills — ability to manage client relationships and provide real-time shipment updates Ability to handle multiple shipments and clients simultaneously with strong attention to detail Comfortable with field visits to ports, customs offices, and freight stations when required

- Someone who is process-driven, highly organized, and thrives in a fast-paced international trade environment with multiple shipments running simultaneously Someone with strong client relationship skills, fluent in English communication (mandatory), and comfortable dealing with international clients and vendors Education: B.Com / BBA / MBA (International Business / Logistics / Supply Chain) or equivalent Technical Skills:■ Proficient in ERP / trade management tools (SAP, Tally, Zoho, or similar) for shipment and documentation tracking■ Familiarity with ICEGATE, shipping line portals (Maersk, MSC, Hapag-Lloyd), and port tracking systems■ Strong knowledge of Excel for shipment MIS, cost tracking, and reporting dashboards■ Proficient in MS Office (Word, PowerPoint) for client proposals and documentation preparation
Compensation:
Fixed Salary + Incentives
