Role Purpose
The HR Executive – HR Operations, Compliance & Employee Services is responsible for managing day-to-day HR operations, employee records, HRMS, attendance, leave administration, payroll coordination, statutory documentation, employee lifecycle processes, and HR compliance.
The role ensures smooth HR service delivery while acting as the operational backbone of the HR department. It also serves as the secondary backup for recruitment and onboarding activities, ensuring business continuity.
Key ResponsibilitiesA. HR Operations
- Maintain complete employee lifecycle documentation from joining to exit.
- Manage employee personal files and digital records.
- Update and maintain HRMS accurately.
- Issue HR letters (appointment, confirmation, transfer, promotion, experience, relieving, etc.).
- Maintain the HR document repository.
B. Attendance, Leave & Payroll Coordination
- Administer attendance and leave records.
- Validate attendance data for payroll processing.
- Coordinate monthly payroll inputs with the Finance department.
- Resolve attendance and leave discrepancies.
- Maintain leave balances.
C. Employee Services
- Handle employee queries related to HR policies and benefits.
- Coordinate employee confirmation and separation processes.
- Support employee welfare initiatives.
- Maintain confidentiality of employee information.
D. Compliance & Documentation
- Ensure statutory HR records are maintained.
- Support labour law compliance documentation.
- Maintain compliance registers and employee records.
- Assist during internal and external audits.
E. HR Reporting
- Prepare monthly HR operational reports.
- Maintain HR dashboards.
- Generate reports related to attendance, leave, manpower, and employee movements.
- Ensure data accuracy across HR systems.
F. Cross-Functional Support
- Support recruitment administration.
- Schedule interviews when required.
- Coordinate onboarding activities.
- Assist in employee engagement events.
- Support training logistics and record maintenance.
Decision-Making Authority
- Process routine HR operational activities.
- Validate employee records and documentation.
- Recommend operational improvements.
- Escalate policy exceptions to the HR Business Partner.
Qualification
- MBA/PGDM in Human Resources (Preferred)
- Graduate in any discipline
Experience
- 3–5 years in HR Operations or HR Generalist roles.
- Experience with HRMS, documentation, payroll coordination, and compliance.
- Healthcare, diagnostics, hospitals, manufacturing, or services preferred.
