Role: Front Office Executive

Purpose of the Role:
To ensure smooth functioning of the front office by managing visitors, coordinating appointments, supervising housekeeping and cafeteria services, handling couriers, and supporting day-to-day administrative activities in a professional and presentable manner.
Key Responsibility Areas (KRA):
- Manage the reception area – receive guests and visitors, maintain a professional front office environment.
- Ensure upkeep of office space (all 3 floors) – check housekeeping duties, report and track maintenance issues.
- Maintain records and registers – couriers (inward/outward), duty rosters, visitor logs, and other administrative records.
- Coordinate shared spaces – manage scheduling and readiness of conference room, podcast room, and training room.
- Support guest services – coordinate with cafeteria and other teams to provide refreshments/services for senior staff and visitors.
- Internal communication & HR/Admin support – circulate office announcements, assist with employee support needs, and handle ad-hoc HR/Admin tasks.
Key Performance Indicators (KPI):
- Reception and office common areas maintained presentable at all times.
- ≤1 complaint per month regarding cleanliness, pantry, or cafeteria service.
- 100% accuracy in appointment schedules and room bookings; zero double bookings.
- Morning and evening checks completed daily with zero misses.
- 100% accuracy in courier logging, same-day inward distribution, and timely outward dispatch.
- Administrative support tasks completed within agreed timelines.
Qualifications & Skills:
- 1–3 years’ experience in front office, hospitality, or customer-facing role.
- Basic computer skills – MS Office, email, calendar management.
- Good communication skills in English and local language.
- Well-groomed, polite, and professional presentation.
- Strong organizational skills, attention to detail, and ability to multitask.
- Punctual, reliable, and proactive in handling responsibilities.
