We are looking for a proactive and hands-on Facility Manager to oversee the day-to-day operations of our workspace and ensure a seamless experience for members and guests.
Key ResponsibilitiesFacility Operations
- Oversee daily operations of the coworking and managed office facility.
- Ensure smooth functioning of all workspace areas, meeting rooms, cabins, common areas, terrace, and amenities.
- Conduct routine inspections and identify maintenance requirements.
Vendor Management
- Coordinate with housekeeping, security, electrical, HVAC, plumbing, internet, and other service providers.
- Monitor vendor performance and ensure service quality standards are maintained.
- Manage AMC schedules and service contracts.
Maintenance & Infrastructure
- Ensure timely resolution of facility-related issues.
- Coordinate preventive and corrective maintenance activities.
- Maintain records of repairs, maintenance schedules, and equipment inventories.
Housekeeping & Hygiene
- Supervise housekeeping staff and cleanliness standards.
- Ensure washrooms, pantry, common areas, and workspaces remain well-maintained at all times.
Security & Safety
- Coordinate with security personnel.
- Ensure adherence to fire safety and emergency procedures.
- Maintain safety records and compliance documentation.
Inventory & Procurement
- Manage facility consumables and supplies.
- Track inventory of pantry items, stationery, cleaning materials, and operational requirements.
- Coordinate procurement and vendor quotations.
Member Experience Support
- Assist the Community Team in resolving member concerns related to facilities.
- Support workspace setup for new clients and managed office occupants.
- Coordinate event setup and operational logistics.
Reporting
- Prepare daily and monthly operational reports.
- Track maintenance expenses and vendor payments.
- Provide recommendations for operational improvements and cost optimization.
Preferred Qualifications
- Graduate in any discipline.
- Minimum 1–7 years of experience in facility management, coworking spaces, commercial offices, hotels, business centers, or managed office environments.
- Strong vendor management and problem-solving skills.
- Working knowledge of HVAC, electrical, plumbing, and building systems.
- Proficiency in MS Excel and basic reporting.
