Executive Assistant to CEO
Position Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will act as a trusted partner in managing priorities, schedules, communications, travel, and administrative responsibilities while ensuring smooth coordination between personal, professional, and philanthropic commitments.
Key Responsibilities
Executive Support
- Manage and maintain the CEO’s calendar, appointments, meetings, and daily schedule.
- Track priorities, deadlines, and action items, ensuring timely follow-ups and execution.
- Assist the CEO in organizing tasks and aligning work according to business priorities.
- Prepare meeting agendas, minutes, presentations, and reports as required.
- Act as a gatekeeper for incoming requests and communications.
Email & Communication Management
- Monitor, organize, and prioritize emails.
- Draft responses, correspondence, and business communications on behalf of the CEO.
- Coordinate with internal teams, clients, vendors, and stakeholders.
Travel & Logistics Management
- Plan and manage domestic and international travel arrangements.
- Coordinate flights, hotels, transportation, and travel itineraries.
- Ensure all travel-related documentation and schedules are in place.
Coordination & Administration
- Coordinate with the CEO’s driver regarding daily schedules, routes, and transportation requirements.
- Maintain important records, documents, contracts, and paperwork.
- Ensure efficient filing and document management systems.
NGO & Family Office Support
- Manage and maintain administrative paperwork related to the NGO operated by the CEO’s spouse.
- Coordinate meetings, documentation, compliance requirements, and stakeholder communication for the NGO.
- Assist with special projects and family office-related administrative tasks as needed.
Meeting & Calendar Management
- Schedule and coordinate meetings, conferences, and events.
- Manage invitations, reminders, venue bookings, and follow-ups.
- Ensure the CEO is adequately prepared for all meetings and engagements.
Qualifications
- Bachelor’s degree preferred.
- 1+ years of experience as an Executive Assistant, Personal Assistant, or similar role.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office, Google Workspace, WhatsApp, email management, and calendar tools.
- Ability to handle confidential information with discretion.
- Strong follow-up skills and attention to detail.
