Role Overview
We are looking for a highly organized and proactive Executive Assistant to work directly with the Director. This role is critical in ensuring smooth day-to-day operations, managing priorities, and acting as a bridge between the Director and internal/external stakeholders.
This is a high-trust, high-visibility role requiring strong ownership, discretion, and execution ability.
Key Responsibilities
1. Calendar & Schedule Management
- Manage the Director’s daily schedule, meetings, and appointments.
- Prioritize tasks and ensure efficient time management.
- Coordinate internal and external meetings.
2. Communication & Coordination
- Act as a point of contact between the Director and teams, clients, and vendors.
- Draft emails, documents, and follow-ups on behalf of the Director.
- Ensure clear and timely communication across departments.
3. Task & Project Follow-Ups
- Track ongoing tasks, projects, and deadlines across teams.
- Follow up with departments to ensure timely execution.
- Prepare status updates and summaries for the Director.
4. Documentation & Reporting
- Maintain organized records, files, and documents.
- Assist in preparing reports, presentations, and MIS summaries.
- Handle confidential business information with discretion.
5. Operational Support
- Assist in tender-related coordination and documentation (if required).
- Support in basic administrative and operational tasks.
- Identify inefficiencies and help streamline processes.
Ideal Candidate Profile
- 3–5 years of experience as an Executive Assistant in a manufacturing firm
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficient in Microsoft Excel, Word, and PowerPoint
- High level of discretion, professionalism, and reliability
- Comfortable working in a fast-paced, dynamic business environment
- Prior experience in manufacturing / industrial setup is a plus
- Preference for candidates aged 30+ with a stable personal background
