Job Description-Assistant Manager – HR (Factory & Operations)

About the Role
We are looking for a hands-on, ownership-driven Assistant Manager – HR to manage the end-to-end HR function for operations. The role is based at the Head Office with twice-weekly visits to the factory/press site to stay connected with ground realities, resolve workforce issues, and ensure smooth HR operations.
This is a build-from-scratch role that requires strong ownership, maturity, and the ability to operate without fully established systems or processes.
Key Responsibilities
HR Operations
- Own HR operations end-to-end for both Head Office and factory/press site
- Visit factory/press site twice weekly to address workforce concerns and ensure smooth functioning
- Act as the primary liaison between site and Head Office (HR, Finance, Admin, Leadership)
- Provide structured updates to the HR Head; ensure zero surprises or pending escalations
- Understand workforce dynamics and contribute to policy and people decisions
Labour Relations & Workforce Management
- Manage worker grievances and disciplinary processes in a fair and timely manner
- Build strong rapport with the workforce while maintaining discipline and compliance
- Handle manpower planning, hiring, onboarding, and induction for factory roles
- Maintain statutory registers and records as per the Factories Act
Payroll & Salary Operations
- Manage end-to-end monthly payroll for factory/site employees with high accuracy
- Handle attendance reconciliation, salary disbursement, deductions, advances, and F&F settlements
- Maintain salary records and documentation
PF, ESIC & Statutory Compliance
- Manage PF & ESIC processes including registrations, ECR filing, and challans
- Ensure compliance with applicable labour laws (Factories Act, Industrial Disputes, Contract Labour, Shops & Establishments, Minimum Wages)
- Track regulatory changes and proactively address compliance gaps
- Maintain strict adherence to statutory compliance
Reporting & Documentation
- Prepare weekly and monthly HR reports (attendance, payroll, hiring, compliance)
- Maintain trackers using Google Sheets and documentation via Google Drive
- Ensure all employee records are organised and audit-ready
Tools & Technology
- Regular use of Google Workspace (Sheets, Docs, Drive, Calendar) and MS Excel
- Experience in HRMS implementation (e.g., Keka, Zoho People, GreytHR, Darwinbox, etc.) is mandatory
- Ability to use AI tools effectively for productivity, while maintaining accuracy and ownership
Communication
- Strong verbal communication skills in Hindi and English across all levels (workforce to leadership)
- Ability to draft HR documents, notices, and reports independently and accurately
- Proactive communication with stakeholders
Candidate ProfileSkills & Experience
- 10–15 years of HR experience, preferably in manufacturing or factory environments
- Experience handling both worker-level and corporate HR
- Strong exposure to payroll, labour laws, PF, ESIC, and compliance
- Practical knowledge of state labour laws
- Prior experience in HRMS implementation (mandatory)

Qualifications
- MBA / PGDM in HR or Industrial Relations (preferred)
- Graduate degree (mandatory)
- Certifications in Labour Law, Industrial Relations, or Payroll (preferred)
