Job Summary
The Front Office Executive is responsible for managing patient reception, registration, appointments, billing coordination, and providing excellent customer service to patients and visitors. The role requires effective communication, coordination, and maintaining a professional and welcoming environment at all times.
Key ResponsibilitiesPatient Handling & Reception
- Greet and assist patients, attendants, and visitors courteously.
- Register patients accurately in the hospital management system.
- Guide patients regarding appointments, consultations, admissions, and hospital services.
- Manage patient flow at the reception area efficiently.
Appointment & Coordination
- Schedule, confirm, and reschedule appointments for consultants and departments.
- Coordinate with doctors, nursing staff, billing, insurance, and other departments.
- Inform patients about consultation timings and delays if any.
Telephone & Communication
- Handle incoming calls, enquiries, and emails professionally.
- Provide accurate information regarding hospital services, timings, and procedures.
- Escalate complaints or concerns to the concerned department.
Billing & Documentation
- Assist patients with billing formalities and payment guidance.
- Verify patient details and maintain records properly.
- Ensure proper filing and confidentiality of patient documents.
Customer Service
- Maintain a professional appearance and positive attitude.
- Handle patient concerns politely and efficiently.
- Ensure patient satisfaction through prompt service and communication.
Administrative Duties
- Maintain reception area cleanliness and discipline.
- Prepare daily reports related to appointments, admissions, and enquiries.
- Support administrative activities assigned by management.
Qualification
- Any Graduate / Diploma in Administration or Hospital Management preferred.
Experience
- 0–3 years of experience in front office/reception, preferably in a hospital or healthcare setup.
Skills Required
- Good communication and interpersonal skills.
- Knowledge of hospital management systems and basic computer skills.
- Ability to handle patients and visitors professionally.
- Multitasking and coordination abilities.
- Fluency in English and Tamil; additional languages will be an added advantage.
Working Conditions
- Willingness to work in shifts, weekends, and holidays as per hospital requirements.
