- Inventory Control: Maintaining accurate records of incoming and outgoing goods. This involves using a Warehouse Management System (WMS) to track inventory levels, lot numbers, and expiration dates. They perform regular cycle counts and full physical inventories to ensure accuracy.
- Receiving and Put-Away: Supervising the unloading of trucks, verifying the quality and quantity of products received, and ensuring they're promptly and correctly stored in the designated cold storage locations. This is critical to maintain the cold chain.
- Order Picking and Shipping: Managing the team that picks orders from storage and prepares them for shipment. They ensure orders are accurate and packed correctly to maintain temperature integrity during transit.
- Equipment Management: Overseeing the proper use and maintenance of cold room equipment, such as forklifts, pallet jacks, and reach trucks. This includes pre-shift inspections and coordinating with maintenance for repairs.Job Summary
The Warehouse Supervisor / Admin Executive is responsible for overseeing daily warehouse operations, inventory management, dispatch activities, and administrative tasks. The role ensures efficient warehouse functioning, accurate stock control, timely deliveries, and proper documentation while maintaining compliance with company policies and safety standards.
Key Responsibilities
Warehouse Operations
- Supervise daily warehouse activities, including receiving, storing, and dispatching goods.
- Monitor inventory levels and ensure stock accuracy through regular stock audits.
- Coordinate with procurement, sales, and logistics teams for smooth material movement.
- Ensure proper storage and handling of materials to prevent damage or loss.
- Maintain warehouse cleanliness, safety, and compliance with company procedures.
- Investigate and resolve inventory discrepancies.
Inventory Management
- Maintain stock records and update inventory systems accurately.
- Conduct periodic physical stock verification and reconciliation.
- Generate inventory and stock movement reports.
- Monitor slow-moving, excess, and obsolete inventory.
Administration
- Maintain warehouse-related documents, records, and reports.
- Prepare daily, weekly, and monthly operational reports.
- Handle vendor coordination and service-related documentation.
- Manage attendance records, leave tracking, and employee-related administrative tasks.
- Coordinate office maintenance, stationery, and other administrative requirements.
Team Management
- Supervise warehouse staff and allocate daily tasks.
- Monitor employee performance and productivity.
- Ensure adherence to safety guidelines and operational procedures.
- Provide training and guidance to warehouse personnel.
Required Qualifications
- Bachelor's Degree in Business Administration, Commerce, Logistics, Supply Chain Management, or a related field.
- 2–5 years of experience in warehouse operations and administration.
- Knowledge of inventory management and warehouse procedures.
- Proficiency in MS Excel, MS Office, and ERP/Warehouse Management Systems.
