Role Overview
We are looking for a highly motivated and detail-oriented Tendering Engineer to join our Tendering Department. The ideal candidate should possess strong communication skills, a good understanding of tendering procedures, and hands-on knowledge of the GeM Portal and e-tendering processes.

Key Responsibilities
Tender Management
- Register and maintain company profiles on various e-tendering portals, including GeM and other government/private procurement platforms.
- Upload and submit tenders on respective tender portals within stipulated deadlines.
- Review incoming tenders and record critical details such as submission deadlines, project timelines, eligibility criteria, and submission requirements.
- Monitor tender schedules and ensure timely completion of all submission activities.
Bid Preparation & Documentation
- Collect and compile tender-related information from online portals, market intelligence sources, and industry databases.
- Coordinate the preparation of bid documents, tender questionnaires, pre-qualification documents, and supporting attachments.
- Ensure all tender submissions are properly formatted and comply with customer specifications and submission guidelines.
- Maintain accuracy and completeness of tender documentation.
Internal Coordination
- Coordinate with technical, commercial, finance, and other departments to collect required documents and information for bid submissions.
- Communicate customer requirements and additional information requests to relevant departments.
- Support the commercial team in maintaining strong relationships with existing and prospective customers.
Tender Submission & Follow-Up
- Ensure strict adherence to tender submission timelines.
- Manage document checking, binding, packaging, and submission processes.
- Raise pre-bid queries and coordinate responses with customers and internal teams.
- Handle validity extension letters, EMD follow-ups, and tender-related correspondence.
Vendor Registration & Compliance
- Manage vendor registration activities on various customer and procurement portals.
- Maintain tender records and archive completed tender files systematically.
- Handle DSC renewals and troubleshoot portal, browser, and site-related issues.
Commercial & Financial Coordination
- Coordinate with the finance department for EMD, PBG, and BG requirements.
- Assist in arranging Performance Bank Guarantees (PBGs) and other tender-related financial instruments.
- Support post-award activities such as acknowledgment of LOIs, Purchase Orders (POs), and customer queries.
Preferred Knowledge
- GeM Portal operations and bidding procedures.
- EMD, PBG, BG, and related documentation.
- Government and private sector tendering processes.
- Basic troubleshooting of browsers, Java settings, and digital signatures.
